Job Description

Person on this position will coordinate and oversee administrative duties in an office and ensure that the office operates efficiently and smoothly, as well as supports all administrative needs of CTO. The responsibilities generally include duties like greeting visitors, managing office supplies, overseeing other administrative staff, owning budgets, and supporting staff with administrative tasks like scheduling meetings.

The duties will include:

·                Maintain office efficiency by maintaining appearance of common areas, organizing procedures, handling correspondence, managing filing systems, and overseeing supplies and equipment

·                Oversee the day-to-day activities of the office as the main point of contact in the reception area, keeping management informed of performance with routine and requested reporting

·                Provide direct administrative support as needed, including scheduling appointments, meetings, and events, booking travel, maintaining filing system, mailing, and shipping packages, and updating contact database and employee list

·                Oversee and maintain office equipment for uninterrupted function, identify and fulfill office supply needs, maintain, and manage vendors, and coordinate food delivery as needed

·                Manage all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested

·                Implement recruitment of short and long term personnnel through collection and verification of candidate documentation. Organize and participate in review of job applications, candidate shortlisting, and interviews

·                Check professional references and prepare job offers

·                Ensure recruitment and personnel actions are compliant with DAI policies and procedures, contract requirements, USAID regulations, and local labor law

·                Conduct termination procedures, including arranging exit interviews, and collection of all equipment and termination documents

·                Maintain personnel records in accordance with DAI record retention and documentation requirements

·                Support work permit requirements for expatriate staff

·                Liaise with facility management vendors, including cleaning, catering, and security services

·                Plan in-house or off-site activities, like parties, celebrations, and conferences

 

Qualifications

·       Knowledge of Office Administrator responsibilities, systems, and procedures

·       Proficiency in MS Office (MS Excel and MS Outlook, in particular)

·       Hands-on experience with office machines (e.g., fax machines and printers)

·       Familiarity with email scheduling tools, like Email Scheduler and Boomerang

·       Excellent time management skills and ability to multi-task and prioritize work

·       Attention to detail and problem-solving skills

·       Excellent written and verbal communication skills

·       Strong organizational and planning skills in a fast-paced environment
