Job Description

  • Maintains the COO | Presidents and both CEO’s calendars, including scheduling meetings, appointments, calls, and travel arrangements. 
  • Interact and correspond with executives and the Board of Directors on meeting agendas and scheduling, maintaining confidentiality at all times. Plan all BOD lunches/dinners/meeting locations 
  • Organize and manage BOD monthly and quarterly decks with oversight from our SVP of Finance 
  • Handle incoming and outgoing communications on executive’s behalf, which may include emails, LinkedIn and other social media platforms  
  • Manage contract policy and storage of all contracts 
  • Create and manage travel arrangements for all Executive and Senior Leadership team members to include air, hotel, ground transportation and any other travel related needs. Troubleshoot and aid with travel changes and/or emergencies. 
  • Prepare reports and materials for travel, customer visits, month end, meetings, events and conferences. Draft and prepare high-level reports and presentations in Powerpoint and other Microsoft Office products 
  • Prepare and submit expense reimbursements for executives, ensuring all reimbursements are quickly processed and balanced on a weekly or monthly basis; depending on executives needs 
  • Support with planning company events as needed (such as Expo West, company retreats, Leadership offsites) 
  • Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed 

Qualifications

Who You Are 

  • Bachelor's degree preferred. 
  • Proven experience as an executive assistant or other relevant administrative support experience required.  
  • Marketing experience is a plus. 
  • Prior industry experience in food, CPG, and/or grocery/natural is preferred. 
  • Proficiency in Microsoft Office, Google Suite required. 
  • Tech savvy – technology interests you & you can troubleshoot common IT issues.  
  • Familiarity with scheduling travel / meetings for multiple individuals required. 
  • Excellent written and verbal communication skills; must be comfortable working in a productive, fast paced start-up environment as a hands-on team player who can also operate independently.
