Job Description

1. Support MOE1&TEF HoDs in a professional way.

  • Manage DM’s calendar, business trip, signature folders in a proper way
  • Prepare meeting agenda & collect necessary slides in an initial way
  • Complete other tasks assigned by HoDs in time & report in an effective way.

2. Plan & organize MOE1&TEF department activity properly

  • Make department activity plans & carry out accordingly
  • Organize department activities, eg: celebration, farewell, team building, annual party...
  • Track entertainment budget
  • Maintain learning calendar in MOE1&TEF
  • Organize department workshop & acting as moderator
  • Good activities sharing between MOE1&TEF

3. Manage & optimize office environment & process   

  • Office 5S leading, support shopfloor 5S check, taking pictures and sending out OPLs.
  • In charge of meeting rooms, public facilities, department assets & office environment…
  • Management of coffee corner, book corner, public areas…
  • Purchase necessary office goods

4. Support department daily issues

  • Order stationary for both departments
  • Support NEO training for new office employees
  • Internal car rental, traveling consulting, travel auditor, reimbursement auditor 
  • Support visitors’ invitation letter preparation, transportation, hotel booking, meeting agenda…
  • VA orientation taking (making the list with managers together and take care of the feedback).
  • Support local Expat during daily life in organizing and planning of various issues in China
  • Internal cooperation with PM, HRL, COR and other cross function.
  • Expense rebooking

5. Other Coordination Task

  • FA Coordinator;
  • IWC & Office renovation coordinator
  • Other tasks assigned by manager
  • Take full responsibility in MOE1&TEF function area for the responsible issue.
  • Escalation to MOE1&TEF head and get feedback in time.

Qualifications

  1. Bachelor degree in English or business administration.
  2. Relevant working experience is preferred.
  3. Very good command in English (speaking & written), able to deal with people with different nationalities/cultures.
  4. Advanced computer skills for MS office, i.e. Excel, Power Point, Word.
