Job Description
1.Portfolio Management: Manage inputs to a Portfolio Management Platform system, support with maintenance and quality assurance for portfolio-wide digital solution. Collate portfolio-wide data and insights, present to senior management in portfolio review meetings. Collaborate with departments and units at varying levels of project management maturity to select and categorize their work into projects. Support new grant opportunities for the portfolio assigned. Serve as an ambassador of best practices in portfolio and project management and a point person to troubleshoot and resolve sticky problems.
2. Project Management: Develop and manage all aspects of project and engagement from planning, external vendor relationships, communications, resources, budget, change, risks, and issues. Manage the day-to-day project activities and resources. Chair the project management team meetings. Procure and secure adequate resources to achieve project objectives in planned timeframes. Monitor, track, and control outcomes to resolve issues, conflicts, dependencies, and critical path deliverables. Provide status reporting regarding project milestones, deliverables, dependencies, risks and issues, and help prepare communications for leadership.
3. Capacity-building: Build staff capacity in the area of portfolio and project management. Hold webinars and trainings, develop virtual tools, templates and artifacts to support departments, units and project teams’ application of project management best practices. Provide ad hoc coaching support to colleagues upon request and as triaged by team. Refine the team tailored methodology to meet the needs of stakeholders in an ever-changing environment. Develop and update training materials in light of methodology changes.
Qualifications
Mandatory:
- First-level university degree in Business Administration, Project Management, Marketing, Engineering, Computer Science or related discipline.
- Professional qualification or foundation certification in project management methodologies such as PMI, Prince 2, Agile SCRUM.
- At least ten (10) years of recent professional experience in program / project planning, management and successful delivery of complex cross functional or interdependent projects, some of which should be at the global or international level.
- Experience in collaborating with teams (physically or virtually) in an international and multi-cultural environment whilst producing results.
- Proven experience in writing project plans and project-related documentation.
- Experience in facilitating workshops, presentations to senior stakeholders and managing change.
- Proven skills in the areas of project management, change management, building trust, planning, organizing, resourcing with careful attention to detail to continuously monitor progress actions and initiatives.
- Ability to adapt and manage deliverables and resources in a climate of change and to think and act quickly, sometimes under pressure yet remain effective.
- Ability to effectively collaborate with teams in an international, multi-cultural, multi-disciplinary environment; separated by geographical locations and working under different time-zones.
- Ability to promote best practices, advise on improvements, independently perform research, and apply information from a broad range of sources.
- Excellent interpersonal skills with the ability to influence, negotiate, advocate, motivate, resolve conflict, and adapt relevant leadership styles to a variety of situations.
- Excellent communication (both oral and written), problem solving and analytical skills.
- Strong supervisory, organizational, management, and consultancy skills.
- Proactive, flexible, resourceful and able to work independently with limited supervision.
- Office 365 Suite (Word, Excel, Outlook, PowerPoint, Teams, SharePoint, et al.)

- Extensive experience in working across multiple time zones without the need for face-to-face meetings.
