Job Description

We are seeking a highly organized, and detail-oriented Corporate Event Coordinator to oversee the planning, execution, and success of a wide range of corporate marketing events. From concept development to post-event reporting, you will manage events as end-to-end projects owning timelines, budgets, logistics, and cross-functional coordination to ensure flawless execution.

This role requires a self-starter attitude, and ability to thrive in a dynamic and fast-paced environment. Good verbal and written communication and organizational and project management skills are a must, as is the ability to manage multiple projects concurrently. You will collaborate closely with vendors, and internal marketing and sales teams to deliver high-impact events that are on time, on budget, and aligned with business objectives.

Qualifications

Proven experience in project management and corporate event coordination, marketing operations, or a similar role.

Strong understanding of event logistics, AV requirements, booth and materials shipping, and managing event-related inventory such as signage, displays, giveaways, and promotional materials.

Prepare and manage event-related documentation including purchase orders, approval requests, vendor contracts, and invoices, and coordinate with accounting to ensure timely and accurate payment processing.

Basic bookkeeping skills related to budgeting, invoicing, and expense tracking.

Excellent organizational, problem-solving, prioritization, and multitasking skills.

Outstanding written and verbal communication skills.

Ability to remain calm under pressure and adapt to changing circumstances.

Preference given to candidates with project management experience and planning a wide variety of events (trade shows, distributor events, internal company meetings, etc.) and proactively anticipating risks and challenges.

Microsoft Office Suite (required) – especially Excel, Word, and Outlook

Ryver (R-Y-V-E-R) for team communication and coordination (Nice to have)

Event project planning and timeline development

Basic event budget creation, tracking, and financial reconciliation

Vendor and venue management

Cross-functional coordination (marketing, sales, finance, operations)

 

Additional Information

Key Responsibilities

 

  • Own the end-to-end planning and execution of multiple events, from initial planning through post-event reporting.
  • Develop event timelines, coordinate logistics, vendors, budgets, and internal stakeholders to ensure smooth delivery.
  • Manage operational and administrative tasks including purchase orders, invoices, expense tracking, and documentation.
  • Coordinate event promotion with internal teams and oversee booth logistics, shipping, setup/teardown, AV, and onsite support.
  • Monitor events in real time, troubleshoot issues, and ensure a high-quality attendee experience.
  • Track results and prepare post-event summaries to evaluate performance and identify improvements.
  • Follow company policies related to data security and privacy.
  • Perform other related duties as needed.
