Job Description

  • Provide administrative and executive support to the General Manager.
    Manage the General Manager's calendar, appointments, meetings, and travel arrangements.
    Coordinate internal and external meetings, prepare agendas, and record meeting minutes.
    Handle incoming calls, emails, and correspondence in a professional and timely manner.
    Prepare, proofread, and distribute reports, presentations, and business documents.
    Organize and maintain confidential files, records, and company documents.
    Monitor GM`s office supplies and coordinate procurement when needed.
    Liaise with departments, clients, suppliers, and external stakeholders on behalf of the General Manager.
    Assist in planning company events, conferences, and business meetings.
    Track deadlines, follow up on action items, and ensure timely completion of tasks.
    Support daily office operations to ensure an efficient and productive work environment.
    Maintain confidentiality of sensitive business information and executive communications.
    Assist with budgeting, expense reports, and other administrative records when required.
    Perform data entry, filing, scanning, photocopying, and other general office duties.
    Handle special projects and other duties assigned by the General Manager.

Qualifications

Proven experience in administrative support and schedule management

High school diploma or equivalent required; associate degree preferred

Excellent skills in managing and handling correspondence

Languages: Proficient in English and Russian.

Proficiency in MS Office (Word, Excel, Outlook)

Strong organizational, interpersonal, and multitasking skills

Skills in workflow facilitation

Excellent written and verbal communication abilities

Keen attention to detail
