The role….

The Studio Operations Coordinator will be the operational backbone of the studio. You will ensure accurate financial tracking, assist with budgeting, oversee timesheets, and coordinate freelancer hiring and contracts.  Working closely to assist the Studio Director and project teams, you will maintain the smooth running of the studio’s financial and administrative and project processes. Beyond operations, you’ll help promote our studio culture - initiating team events, nurturing a positive atmosphere, bringing energy and initiative to every task. This role requires a proactive, flexible approach and a willingness to step into a variety of responsibilities with enthusiasm and precision.

What you’ll do…

Financial & Commercial Support

  • Support client invoicing and month-end processes
  • Track project expenses, freelancer costs, and studio operational spend
  • Maintain financial trackers and support reporting to finance teams
  • Assist with credit control, supplier onboarding, and PO management
  • Support consistent financial reporting across projects and regions

Project & Resource Coordination

  • Set up and maintain project data and reporting in Harvest
  • Support accurate time tracking and resourcing across the studio
  • Analyse time tracking data to make it meaningful, helping inform future fee proposals and project planning
  • Coordinate freelancer hiring, onboarding, contracts, and offboarding
  • Maintain freelancer records and support forecasting of resource costs
  • Assist with studio logistics, including couriers and sample boards etc

Studio Operations & Administration

  • Act as a key point of contact for day-to-day studio operations
  • Support the Studio Director with planning, priorities, and operational initiatives
  • Support with RFPs and PQQs
  • Maintain studio processes, templates, documentation, and filing systems
  • Support the management of design agreements and contracts across active projects, including coordination, tracking, signing, and filing
  • Coordinate onboarding of new starters and ensure systems and studio setup are ready
  • Assist with coordinating training opportunities and studio development initiatives
  • Support with communication between the studio, finance, people team, and external partners
  • Prepare trackers, summaries and reports for internal meetings
  • Assist with internal reporting, ensuring a high level of accuracy and attention to detail

  • Harvest (time tracking and resourcing)
  • Microsoft Office / Google Workspace
  • Figma (basic knowledge desirable, not essential)
  • Adobe Creative Suite (basic knowledge desirable, not essential)

  • You’re comfortable handling budgets, invoicing, and keeping financial tracking on point
  • You understand design agreements or professional services contracts and how they move through their lifecycle
  • You’re happy getting into the data and turning it into insights that help people make decisions
  • You’re proactive, adaptable, and good at juggling multiple priorities without losing your cool
  • You communicate clearly and calmly, bringing a collaborative, positive, solutions-focused mindset
