Job Description

Part-Time- 20 hours per week

Salary Range- $12-15/hr.

YWITS is seeking an Entry-Level Finance and Administration Assistant responsible for assisting with financial and administrative management of the organization including budgeting, accounting and financial reporting, and office management.

Financial Management:

  • Work with external CPA firm to prepare budgets, financial forecasts, banking, cash flow and coordination of audit activities
  • Manage Accounts Payable and Receivable
  • Assist with pricing for proposals
  • Work with Accounting firm to ensure compliance with federal, state and local legal requirements, ensuring timely filing of all required financial and any other reporting
  • Provide timely, accurate and complete financial reports for the President/CEO
  • Assist with developing and maintain relationships with financial institutions
  • Human Resources functions (including payroll and benefits programs)

Administration

  • Provide administrative support to the President/CEO and staff
  • Manage requirements/arrangements for YWITS meetings and conference calls
  • Attend meetings and conference calls as needed, responsible for recording and distributing meeting minutes. (Arrangements include scheduling, logistics, monitoring expense reports, travel logistics, etc.)
  • Ensure that YWITS has excellent standard operating policies relevant to organizational culture, including personnel, operational and financial policies that are accurately documented, routinely updated to reflect best practices and implemented throughout the organization
  • Oversee processes to maintain all business licenses, certifications, insurance and corporate reporting
  • Manage and maintain general office needs to ensure smooth operation
  • Maintain operational, administrative, personnel and financial files
  • Research and maintain list of potential clients

Qualifications

  • Degree in Accounting or related field preferred
  • Advance knowledge of Bill.com and QuickBooks a plus
  • Proficient with Microsoft Office (Outlook, Excel, Word etc.)
  • At least 2 years of overall professional experience; ideally 1+ years of broad financial and operations management experience with a small business
  • Ability to perform basic bookkeeping functions
  • Understanding of general accounting principles
  • DCAA and federal accounting experience a plus
  • Experience of final responsibility for the quality and content of all financial data, reporting and audit coordination for either a division or significant program area
  • Ability to translate financial concepts to management and to effectively collaborate with colleagues who may not have finance backgrounds.
