Job Description
The Executive Assistant of IT Ops will report to the Vice President of Information Security and will be the point of contact and liaison for the Information Security department.
Responsibilities:
- Provide administrative support and office management to the Information Security department
- Responsible for greeting an directing visitors, vendors, and contractors
- Answers, screens, confirms appointments, and routes phone calls in a highly professional and timely manner; taking detailed messages and ensure they are handled appropriately.
- Organize and manage calendars, meeting invitations, coordinates travel arrangements for Vice President and other department employees as requested. Assist with travel related expense reporting
- Maintains a close and highly responsive relationship pertaining to Executives daily activities.
- Interfaces with a high level of confidentiality and exercises discretion with integrity in the handling of confidential material.
- Experience with Accounts Payable, Purchasing and Contracts responsibilities and functions. All Information Security invoices, Purchase Requests, Contracts, and Statement of Work will go through this role for entering into SharePoint and ensure they are routed to the appropriate Project Managers, Directors, Vice President and Chief Level Executives as required for signature.
- Assisting HR and Security by ensuring that IT submits the correct forms for new hire, contractors and vendors. Tracking the progress through Security, Human Resources and initiate Badging instructions.
- Compiles information to prepare reports and agendas as well as provides meeting minutes and other recording functions. Draft correspondence and compose communications.
- Provides specialized administrative support knowing when to take the initiative. Assist the Executive with complex details. Coordinate and maintain effective office procedures and ensure an efficient workflow.
- Provides on-boarding support of new team members and contractors through system access requests, building access, and equipment needs
- Performs general clerical duties including photocopying, faxing, scanning, mailing, and filing.
- Responsible for placing office supply orders and Warehouse orders
- Assists with employee transactions including Vacation Requests, staffing requisitions, and maintain employee personnel documentation
- Generates work order requests that pertain to routine office requests and general maintenance. Assists with various inspections for the building.

Qualifications
- A minimum of 5 (five) years administrative experience reporting to Vice President or Chief level Executives.
- Excellent, professional, verbal and written communication skills in the English Exceptional organizational, interpersonal, and administrative skills, with excellent attention to detail, able to multi-task and work well under high pressure situations.
- Demonstrated computer skills and proficiency in Microsoft office (Word, Excel, and PowerPoint).
- Must be 21 years of age or older.
