Job Description
Daily Activities:
1. Handling and transferring calls
2. Office Cleanliness -
· Crockery breakages/cleanliness
· Checking Dusting -furniture, Cobwebs, Sofa Cleaning, Glass cleaning
· Checking Cleanliness of Restrooms
· Checking Cleanliness of Pantry
Checking Breakages (chairs, workstations etc)
3. Switching off lights /AC when not in use
4. Report on Employees spending time in reception
5. Security Incident Report
6. Stationery usage report
7. Check security availability
8. Ensuring office door closed properly
9. Ensure availability of tea/milk/water
10. Check cleaning staff activity report to ensure that all tasks are being done
11. Co-ordinate with vendors whenever required
Follow up with the Electricity bills and Telephone bills etc., should make sure that the bills are collected and sent to accounts for payment processing
Daily thrice the cleaning work of house keeping staff should be supervised by visiting each place
Updating the Security Incident Report (employee without access card, not wearing the id card. Lost access card). Security Incident Report has to be sent to IT Support,Hr.
When any stationery is issued to the employee, signature has to taken from them.
No tailgating- that has to be reported to it support and HR immediately.
All the employees should register in the register book which is with the security.
Monthly Activities:
1. Updating the Contact Report
2. Enabling and Disabling Access Card
3. Noting Login and Logout time
4. Ensure that AC maintenance is done every quarter. Maintain A/C log
5. Ensuring that all bills are received and paid before due-date
6. Maintaining stationary
Task Sheet during Client Visit:
Arranging for the Welcome Note, Stationery, Bouquet, Projector Screen, when client available in the office.
If the power shuts off when there is client in the office, immediately coordinating with System Admin and Switching on the Generator with his permission.
When there is client visit in the office, coordinating with Chandru for refreshment (eatables like diet coke, coke, lays, mineral water etc).
Maintaining office cleanliness when there is client visit.
Co-ordinating with Hotel booking and Travelling during the client Visit.
Extra Tasks:
Should not allow any ex-vendor or ex-employee inside the office premises with out any prior appointment.
Office extra pair of keys are with employees who will be working late or who leave last, make sure that employees have a key for locking before you leave for the day and send a mail to IT support which employee is expected to lock the office incase House keeping staff is locking the office then you have to mention the same in the mail.
Any issues or any thing to be done in branch office has to be reported to corporate office: mail to HR.
All the employees should wear their ID card in plain sight.
