Job Description

The HR Project Specialist provides support in functional areas of the human resources department, including overseeing the Smart Recruiter Applicant Tracking Systems (ATS) and human resources special projects. This role will act as the Smart Recruiter ATS subject matter expert, providing technical support, training and guidance in the use of the ATS system. This position will own the recruitment process, including assisting managers, scheduling interviews, managing online onboarding system, and conducting orientations. The HR Project Specialist works with hiring managers, and collaborates with corporate and field HR teams, and is primary point of contact for the ATS. Work with HR/Payroll associates with project related activities.

The position is located in Prairie Village, KS and is temporarily remote due to current COVID restrictions. The role will eventually report to the Prairie Village-based corporate office on a regular basis after the office resume normal operations.

 

Duties & Responsibilities

  1. Oversee and maintain optimal function of the Smart Recruiter ATS, which may include customization, development, maintenance, and upgrade to applications, systems, and modules.
  2. Manage user accounts, including access permissions, personalization and similar system operations and settings for users.
  3. Maintain and update documentation to train end users on system to ensure adoption of proper usage by HR team and end users.
  4. Provide support, troubleshooting, and guidance to HR and ATS users, including, but not limited to, researching, and resolving system problems.
  5. Collaborate with HR staff to identify and recommend system improvements and enhancements; and serve as vendor point of contact.
  6. Assist managers with scheduling interviews, managing the online onboarding system as well as conducting orientations.
  7. Test system modifications or enhancements based on organizational or HR needs.
  8. Export, compile and/or assist with data reports, summaries and logs for senior executives and HR staff.
  9. Serve as representative and liaison between HR, IT, external vendors and other stakeholders for ATS-related issues and projects.
  10. Maintain knowledge of trends and developments in ATS providers, vendors and technology.
  11. Assist with projects and day to day HR duties.
  12. Perform other job-related duties as assigned.

Qualifications

Required Qualifications

  • A 4-year Bachelor’s degree from an accredited institution is required – preferably in business, human resources or other rated field.
  • A high degree of confidentiality; ability to handle with discretion, access to confidential information and materials
  • Excellent verbal and written communication skills coupled with the ability to effectively interface with, and train system users
  • Ability to juggle multiple projects simultaneously and deliver within specified deadlines
  • Ability to effectively communicate well with all levels of organization
  • Self-starter
  • Strong team player
  • Proficient in MS Office

Preferred Qualifications

  • Prior experience managing application tracking systems (ATS –preferably Smart Recruiter)
  • Prior experience with the recruitment and onboarding process
  • Technical support skills

  • Standard office equipment including computer, mouse, keyboard, telephone, multifunction copier

Eligibility

  • Must be legally authorized to work in the United States without restriction.
  • Must be willing to submit to a background investigation, including verification of past employment, criminal history and educational background. 
  • Must be willing and able to pass a post-offer drug screen and physical (if required)
  • Must be 18 years of age or older.

Travel Requirements

  • Up to 10% of Travel Required
