Estate planning

Job Description

Wills and Trusts are an Independent Financial Advisors based in the heart of Thame, Oxfordshire. Due to our on-going growth and expansion plans we are looking to appoint a new Administrator to support our team of Advisors and contribute to project based work relating to the legal side of our business.

The position is a newly created opening that will give you scope to learn from a great team of individuals, taking your existing administrative skills to the next level within a professional financial services environment. Our Admin Team are responsible for ensuring all paperwork is filed correctly for areas such as wills and probate, pensions or wealth management plans/investments. In-depth knowledge of these areas is not required as we take pride in giving all of our colleagues the support and training needed to offer our clients exceptional levels of service, however we are looking for applicants capable of taking pride in their work, have a great eye for detail and a passion for being organised.

Typical responsibilities will include:

  • Scanning incoming correspondence
  • Checking client files to ensure all actions have been followed up
  • Filing
  • Scan Trust & Lasting Power of Attorney's documents before sending them to providers
  • Print off and package Wealth Management Plans for Advisors
  • Liaison with third party providers to ensure timely financial transfers or to obtain reports.
  • Delegate incoming post
  • Create client binders, ensuring they contain the necessary files and information
  • Complete TCF (Treat Customers Fairly) questionnaires
  • Project work in support of Wills & Trusts Legal; including database creation, auditing of files and actioning follow-up points to ensure minutes relating to client Trusts are relevant, accurate and stored correctly.
  • Issue emails and correspondence to clients for completion, chasing clients where required ensuring the completed information is returned.

Our ideal applicant will previously have carried out an Administrative based position within a professional working environment. You will be passionate about learning and have a natural preference for working as part of a team, supporting a team of professionals. We are looking for impressive administrative, IT and organisational skills combined with a strong work ethos that requires you to genuinely care about putting our clients first.
