Job Description

Reporting to the Manager, Medical Education, the Education Assistant will support the medical education activities at the Osler clinical education campus. The incumbent works collaboratively with the Manager, Medical Education and medical education team and duties may be shared to support the medical education portfolio.

Accountabilities:

  • Provides on-site faculty support as required
  • Supports in the coordination of clinical placement opportunities at the Osler clinical education campus which includes assist in processing all appropriate correspondence regarding rotations including licensure, malpractice, training verification, letter of good standing, etc., within a timely manner and in accordance with established policies and procedures
  • Creates and maintains required UG/PG call schedules for the Osler clinical education campus. Ensure the timely distribution of updated call schedules to learners and hospital(s)
  • Organize and communicate placement details to impacted departments
  • Assist with registration and orientation for medical learners
  • Provides administrative support for the role to the Manager, Medical Education in developing and organizing medical education activities
  • Attend medical education committee meetings as required
  • Maintain an accurate database of trainee demographics and attendance days and maintain accurate medical trainee data for Ministry of Health reporting and funding purposes (McMaster Medical School Information System)
  • Assists with defining preceptor availability (clinical capacity planning)
  • Provides back up and support to the Manager, Medical Education 
  • Provides administrative support for the simulation-based educational activity (scheduling, room bookings, room access, equipment and inventory maintenance, faculty support in developing/operationalizing simulation activities)
  • Performs other duties as assigned

Qualifications

  • Successful completion of a two year post-secondary program required (community college diploma in office administration medical program or equivalent)
  • Two years experience in a health care related environment
  • Effective planning and organizational skills with a demonstrated ability to set priorities
  • Proficient Microsoft Office skills including Word, Excel, Access, PowerPoint and Outlook
  • Ability to assume responsibility and work on own initiative
  • Ability to work in a team setting environment with good interpersonal skills
  • Proven accuracy and attention to detail
  • Excellent written and verbal communication skills
  • Excellent interpersonal skills with the ability to foster good working relationships
  • Background in medical education and knowledge of medical terminology helpful
  • Must be able to travel as required to all Osler sites as well as McMaster University
  • Must demonstrate Osler's Values of Respect, Excellence, Service, Compassion, Innovation and Collaboration

Additional Information

Hours: Currently days, 8 hours with a flexible working schedule, which may include occasional evenings and weekends (subject to change in accordance with operational requirements)

Salary:
Minimum: $56,023.50
Maximum: $70,024.50
