Job Description

Reporting to the Manager, Payroll, the Team Lead is responsible for overseeing day‑to‑day payroll operations and providing supervision to the payroll team. This role ensures accurate and timely payroll processing, adherence to legislative and collective agreement requirements, and the delivery of high‑quality, customer‑focused service to both internal and external stakeholders. The successful candidate should have experience working with unionized payroll, demonstrate strong strategic thinking with the ability to see beyond day‑to‑day tasks, and possess an in‑depth understanding of payroll legislation, taxation, and regulatory requirements. The Team Lead also monitors team engagement and contributes to initiatives that support staff satisfaction and performance.
 

Accountabilities:

  • Oversee the preparation and processing of payroll, ensuring accuracy in wage calculations, tax withholdings, and deductions
  • Prepare all year end reporting requirements, including T4 processing, EHT and WSIB annual reconciliations, and HOOPP MDC reporting
  • Assist with implementing payroll legislative updates and payroll related collective agreement changes in the in-house Meditech Payroll/Personnel system
  • Prepare monthly reconciliations of payroll balance sheet accounts and complete annual register reconciliations to the Meditech General Ledger for Manager review and sign off
  • Prepare bi weekly, quarterly, and ad hoc reports for Management, Finance, Human Resources, and other internal stakeholders
  • Coordinate calculations and disbursements of retroactive payments and other special payments related to HR compensation strategies and collective agreement settlements
  • Support the payroll team and Manager by serving as the point of contact for escalated payroll inquiries and assisting team members in resolving errors and questions
  • Delivers outstanding customer-focused service to internal and external stakeholders
  • Participate in special projects as assigned by the Manager
  • May be required to work at any hospital site as needed

Qualifications

  • Completion of a Business Administration or Accounting diploma (or related discipline) from a recognized college or university
  • Certified Payroll Manager (CPM) designation from the National Payroll Institute (NPI)
  • 3-5 years payroll experience - in a payroll administrator role/payroll specialist; and  1-2 supervisory/mentoring or team coordination
  • Working knowledge of Meditech Payroll/Personnel and UKG Workforce Dimensions is an asset
  • Experience with the Healthcare of Ontario Pension Plan (HOOPP) is preferred
  • Excellent interpersonal, communication, and customer service skills (written and verbal)
  • Demonstrated initiative, strong problem solving abilities, and solid organizational and analytical skills
  • Ability to prioritize and manage multiple tasks in a high volume, fast paced environment
  • Advanced proficiency in MS Office (Word, Excel, Outlook)
  • Ability to work accurately under pressure and meet tight deadlines

Additional Information

Hours: Currently days, eight hour shifts Monday to Friday (subject to change in accordance with operational requirements)

Hybrid: Roles that function remotely, but require essential, regular onsite weekly work.

Annual Salary:
Minimum:  $81,315.00
Maximum: $101,634.00
