Job Description

WG is looking for a Receptionist to join our team!  This individual will create a positive client and staff impression and develops and promotes good relations among clients and colleagues.

Responsibilities include, but are not limited to:

 Manage firm reception area including:

  • Answer, screen and forward incoming calls
  • Greet and direct visitors as appropriate
  • Receive, sign for, and distribute all incoming deliveries
  • Ensure reception area is tidy and presentable with all necessary stationery and material
  • Maintain office security protocols by following safety procedures and controlling access via the reception desk
  • Coordinate and maintain bookkeeping for outgoing deliveries
  • Maintain employee directory
  • Collaborate with administrative team members to ensure client satisfaction
  • Assist all departments with various projects

Various clerical and firm bookkeeping duties including:

  • Accurate bookkeeping of client charges and reconciliation of accounts
  • Order inventory and maintain office, kitchen, and other supplies
  • Ensure accuracy in delivery of supplies and timely forwarding of invoices
  • Maintain vendor relationships for all office and kitchen suppliers
  • Filing, photocopying, scanning, mailings and other duties to assist staff
  • Sort and distribute incoming mail and prepare outgoing mail (envelopes, packages, etc)
  • Mail system maintenance

Operational duties including:

  • Set up meeting spaces as appropriate for client visits and office gatherings
  • US Postal visits, as needed
  • Bank visits, as needed
  • Assist with new hire welcome
  • Print, bind, and prepare financial statements and other firm correspondence
  • Assist with Facilities concerns, tenant inquiries, maintenance requirements and other outside contractor needs
  • Coordinate busy season meals and other food orders throughout the year, as needed
  • Perform other office duties as assigned

Qualifications

  • Proficient in Microsoft Office Suite (Word, Outlook, Calendaring, Excel, Teams)
  • Solid written and verbal communication skills
  • Ability to multi-task, prioritize, organize, pivot as needed as priorities change
  • Ability and willingness to learn new software and technology
  • Excellent interpersonal skills and a positive attitude
