About the Role

Reporting to the Royalties-In Manager, the Royalties & Partnership Accountant will focus on the management of Licensing deals, and is responsible for the end-to-end management of licence-based royalty reporting, validation, invoicing, and collections is logged the in-house Royalty system West End. The role ensures that all royalty income is accurately reported, validated, invoiced, and collected in accordance with contractual terms, internal processes, and financial controls.

Responsibilities

  • Ensuring the timely submission & receipt of royalty reports from licensees and third-party agents, ensuring accuracy completeness & compliance with contractual terms.
  • Onboard new licensees onto the West End royalty portal, providing guidance and ongoing support with the accurate submission and upload of royalty reports.
  • Review royalty statements for accuracy, completeness, and contractual compliance.
  • Identify and resolve discrepancies in reported royalties with licensees.
  • Prepare and issue invoices in line with validated royalty reports and contractual terms.
  • Monitor advances, recoupments, and overage positions across licence agreements.
  • Track outstanding invoices and proactively follow up to secure timely payment.
  • Maintain an accurate and up-to-date debtors ledger with clear commentary and audit trail
  • Escalate overdue balances and collection risks to commercial stakeholders where required.
  • Assist with maintaining data integrity within the Westend royalty system (approx. 2,500 reports across the groups per quarter) are accurately processed and that recoupment and overage positions are correctly reviewed for each licensee contract.
  • Ensure consistency between licensee reports, internal records, and invoicing data.
  • Act as the main point of contact for licensee queries related to royalties and payments.
  • Proactively collaborate with internal teams to gather and validate required data, ensuring timely resolution of issues and successful collection of overdue royalties & royalty reporting.
  • Collect and consolidate royalty forecasts from licensees to support planning.
  • Flag discrepancies, create and update SKUs (product identifier to track sales), and work collaboratively with licensees to investigate and resolve reporting errors.
  • Monitor and identify overdue payments, taking action in line with WB CPLG credit control procedures to ensure timely collection.
  • Prepare and issue withholding tax documentation to licensors and licensees, ensuring compliance with contractual and regulatory requirements.
  • Maintain dashboards & strong audit trails to ensure compliance and support financial controls.
  • Contribute to continuous improvement of royalty processes and reporting efficiencies.
  • Provide cross-territory support by assisting with workload coverage during team absences or annual leave, ensuring continuity of royalty reporting, validation, and credit control activities
  • Other ad hoc duties as required.

Qualifications

  • Previous experience working within a related finance role.
  • Royalties experience preferred.
  • Ability to interpret and apply contractual terms accurately.
  • Strong MS Excel skills (VLOOKUP, Pivot tables).
  • Demonstrated ability to juggle multiple tasks within a fast-paced environment.
  • Strong interpersonal skills with the ability to communicate effectively at all levels.
  • Excellent organisational & prioritisation skills.
  • Strong written and verbal English communication skills.
  • High level of accuracy & a strong attention to detail.
