Job Description

 

The HR Assistant and Facility Coordinator is responsible for supporting the front office and developing/maintaining the HR knowledge content and tools and coordinating facility repair. Continuously look for opportunities to enable the employees through continuous improvement in our knowledge library and communication.

 

Front Office Administration

  • Greet and screen callers and visitors and visitor badge coordination

  • Organize, reserve, and oversee conference room assignments and supplies

  • Maintain office wide office supply inventory including managing special purchases as requested

  • Central point of contact for company car coordination and maintenance

  • Mail services

  • Maintain office-wide snacks and break room/kitchen

  • Facilitate office repairs/configurations

  • Maintain phone list

  • Maintain the break room/kitchen

 

HR Knowledge Coordination and Communication

  • HR SharePoint content organization and maintenance

  • Maintain company phone list and messaging on companywide monitors

  • In collaboration with VP and HR of People collaborate on effective internal communication strategies to attract and retain our talent

     

    Special Projects

  • Support and/or back up for companywide events and meetings

Other projects as assigned

Qualifications

 

  • 2-3 year’s relevant experience

  • Proficiency with Word, Excel, PowerPoint and Outlook

  • Experience with facilitating office repairs

  • Infectious positive attitude and focused customer service

  • Evidence of solid judgment relative to maintaining confidential information and/or when to ask for additional guidance

  • Excellent organizational skills with an ability to think proactively, anticipate needs, and prioritize work

  • Able to balance competing priorities

  • Agile Mindset – the ability to work in an iterative manner that allows for rapid prototyping, effective feedback loops, and the ability to meet aggressive timelines

  • Adaptability – maintain effectiveness when experiencing major changes in tactical or strategic direction

Other Favorable Experience

  • Bachelor’s Degree or HR Certification

  • Enterprise Agile experience

  • SAFe Agile Certification

  • Advanced technology aptitude and hard skills including Microsoft Word/Excel/PowerPoint, and Outlook

SharePoint competence – ability to develop and organize to enable effective user self service
