As a Tour Desk Agent, you will be the friendly face that sets the tone for an exceptional guest experience. In this highly visible, guest-facing role, you will warmly welcome visitors, review tour information and incentives, and ensure guests are fully prepared for their upcoming resort presentation. Your professionalism, attention to detail, and commitment to outstanding service will help create a seamless tour experience while supporting the success of our sales and marketing teams.

What You'll Do:

  • Welcome and assist guests with professionalism and enthusiasm, ensuring a positive and engaging arrival experience.
  • Efficiently check guests in and out of their scheduled tour assignments while maintaining accurate documentation and records.
  • Review tour details, incentives, and expectations with guests to ensure they are informed and prepared for their presentations.
  • Coordinate general office administration activities in support of the Vice President of Vacation Ownership and Sales leadership team.
  • Provide administrative and clerical support to the General Manager and Senior Management team as needed.
  • Maintain organized records, reports, and correspondence while ensuring confidentiality and accuracy.
  • Serve as a liaison between guests, sales representatives, and management to help facilitate a smooth and efficient tour process.
  • Assist with special projects and departmental initiatives that support business operations and guest satisfaction.

What You'll Bring:

  • High school diploma or GED required; college coursework in Hospitality, Business Administration, or a related field is a plus.
  • Minimum of one year of experience in hospitality, customer service, front desk operations, or administrative support preferred.
  • Exceptional communication and interpersonal skills with a professional, guest-focused approach.
  • Strong organizational skills with the ability to multitask and prioritize responsibilities in a fast-paced environment.
  • Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
  • Ability to professionally handle incoming phone calls, guest inquiries, and administrative requests.
  • Strong problem-solving skills with the ability to research, resolve, and document guest concerns and operational issues.
  • Experience compiling, tracking, and distributing reports, statistical data, and spreadsheet information to management teams.
  • Ability to perform general office administration duties, including correspondence, filing, photocopying, scheduling, and supply inventory management.
  • Dependable, detail-oriented, and self-motivated, with a positive attitude and strong commitment to teamwork.
  • Ability to manage multiple phone lines, take accurate messages, and respond to questions and inquiries in a courteous and professional manner.
