Job Description
The Lead Coordinator supports the daily operations of the document management department by coordinating workflows, monitoring document processing activities, and ensuring compliance with company standards. This position serves as a liaison between team members and internal business partners, helping maintain operational excellence, improve processes, and support team productivity.
In this leadership-focused role, you'll serve as a key resource for team members, support daily workflow management, collaborate with Corporate Sales Support and Closing teams, and help ensure critical documents are processed accurately and on time. The ideal candidate will possess strong organizational skills, administrative experience, leadership capabilities, and a commitment to delivering high-quality customer service.
What You Will Do:
- Coordinate daily document management and administrative workflows
- Monitor document queues to ensure timely processing and completion
- Review documents for accuracy, completeness, and compliance
- Serve as a primary point of contact for team questions, escalations, and workflow support
- Partner with Corporate Sales Support, Closing Officers, and cross-functional departments
- Prioritize workload to meet deadlines and service-level expectations
- Support implementation of department procedures and operational processes
- Track and report team productivity and performance metrics
- Identify workflow improvements that enhance efficiency and document quality
- Provide training, guidance, and coaching to team members
- Assist leadership with resolving operational issues and process challenges
- Promote a positive, collaborative, and high-performance team culture

What You Will Bring:
- 6 months to 1 year of document management, administrative support, records management, operations coordination, or related experience
- Equivalent combination of education and experience will be considered
- Strong customer service and organizational skills
- Previous lead, supervisory, team lead, or coordinator experience
- Experience working in document processing, contract administration, records management, mortgage, title, timeshare, hospitality, or corporate support environments
- High School Diploma or GED required
- Additional education or coursework in business administration, operations, or related fields is a plus
