Job Description
The Onboarding Coordinator reports into the Talent Acquisition organization and provides critical onboarding support to Westgate Resorts new hires and current team members transferring to another role within company. This individual will deliver exceptional customer service and be responsible for managing all on-boarding steps such as ordering drug/background checks, I-9s, new hire paperwork, etc. Will partner with recruiters and hiring leaders from multiple properties to ensure a smooth and effective transition for new hire and internal transfer.
As a Onboarding Coordinator you will:
- Process new-hires including running background checks, E-Verify authorizations, scheduling drug testing, reviewing pre-employment medical results, and explaining the Drug-free Workplace procedure required by the company
- Explain and review all new hire paperwork to ensure completeness and accurate information
- Process Name Changes
- Maintain team member I-9 verification, including periodic self-audits of I-9s
- Scan personnel files in Image Quest, update team member files to document personnel actions and provide information for payroll and other uses
- Maintain inventory of forms
- Assist with all pre-employment questions or tasks
- Assure work clearance prior to new hire orientation deadline
- Meet deadlines in a timely manner
- Schedule and conduct meeting with the Talent Acquisition team to ensure a seamless new hire process
- Perform special projects as assigned, including but not limited to recruiting efforts support.

- Bi-Lingual (English / Spanish) required

Education and/or Experience
- One-year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and 1 + Customer service background, preferably in an HR or Talent Acquisition capacity
- Intermediate proficiency in MS Word, Excel, PowerPoint and Publisher is a must
- Experience with the following technologies: DocuSign, Sterling, SmartRecruiters (ATS)
- Background in core HR processes such as onboarding and i9 verification is preferred
