Job Description

Seeking a Project Coordinator that is able to assist Project Manager with managing their designated properties and projects respectively. Project Coordinator will work with Project Manager, provide field supervision for on-going work, arrange and oversee logistics/coordination of construction sites with contractors, conduct site vitis, hold preconstruction meetings and carry out punch walks with contractors to identify discrepancies.

Essential Duties and Responsibilities include the following:

  • Responding to customer requests with project information
  • Assist with coordinating project schedules, resources, equipment and information
  • Liaising with clients to identify and define project requirements, scope and objectives
  • Ensuring that clients’ needs are met as the project evolves
  • Coordinate project management activities, resources, equipment and information
  • Help prepare budgets
  • Assist with project procurement
  • Monitor project progress and handle issues that arise
  • Act as the point of contact and communicate project status to all local Stakeholders
  • Use tools to monitor contractors, plans and expenditures
  • Ensure standards and requirements are met through conducting quality assurance checks
  • Closing out job files and other necessary documentation for all projects
  • Locate best pricing for materials or subcontractors; and creating purchase orders.
  • Maintaining accurate and up to date data files for subcontractor and vendor information
  • Assist with identifying FF&E item placement, window and door placements for correct flooring and FF&E install.
  • Meet with Project Manager and designated Resort lead staff to coordinate project matters
  • Coordinate, identify and enforce, with all Vendor Supervisor, the rules and requirements for the Westgate's Security and Safety
  • Travel by car to local sites to meet with vendors, stakeholder properties, see production facilities, and make recommendations regarding logistics. 

Qualifications

Education and/or Experience

Associates degree or equivalent combination of education/training and related experience.  Three to five years related experience in construction industry.   Strong computer skills.  Excellent organizational and communication skills, with the proven ability to work effectively with managers and employees at all levels. Proven ability to work independently, exercise good judgment, and seek additional information as appropriate. Ability to work efficiently in a fast-paced environment, meeting deadlines and maintaining accuracy.

Language Skills:

  • Write routine reports and correspondence.
  • Speak effectively before groups of customers or employees.
  • Excellent written and verbal communication skills.
  • Ability to effectively present information to upper management.

Mathematical Skills:

  • Calculate figures and amounts (discounts, interest, etc.).
  • Apply basic algebra and geometry concepts.
  • Work with Accounting and Construction mathematical concepts.
  • Design and interpret statistical models.

Reasoning Abilities:

  • Solve practical problems.
  • Deal with a variety of concrete variables.
  • Interpret instructions in various formats (written, oral, etc.).

Physical Demands:

  • Regularly visit construction sites.
  • Occasionally lift and/or move up to 10 pounds.

Work Environment:

  • Majority of work conducted from office, construction site, or field office.
