Job Description

General Summary Of Duties:

Starting Pay: $18/hour

This position will assist the TMS Manager with day-to-day operational duties following the standard operating policies and procedures and insuring compliance with deadlines and regulations. Assist walk in team members and applicants with requests and provide accurate information.  Assist with Extra/Temps onboarding, processing/updating ADP data, filing/record keeping and maintenance. The position requires resourcefulness, flexibility, acumen, diplomacy, and the ability to take initiative, work independently and handle sensitive information with discretion.  

Role and Responsibilities: (Includes but is not limited to the following)

Other Duties:

  • Assist walk in team members, applicants, and management team with inquiries
  • Answer and screen telephone calls; and take messages as needed.
  • Maintain the appearance of the front counters and refill forms
  • Prepare/create employment verification letters and distribute various documents
  • Pick up and distribute incoming and drop off outgoing mail
  • Route out separated team members  
  • Maintain the filing system including record retention
  • Assist with Extras & Temp Dealers processing
  • Update data in ADP
  • Track & update work card
  • Distribute employee prices and awards, promotional tickets, name badges, etc.
  • Adapt to changes in the departmental needs including but not limited to offering assistance to other team members, providing temporary coverage, adjusting assignments, etc.
  • Responsible for attending scheduled training sessions, participating in staff meetings/initiatives, and becoming knowledgeable of issues discussed
  • Assist with the preparation of materials required for meeting, orientation, etc. as requested.
  • Assist TMS with projects as requested
  • Ability to keep and maintain confidential information
  • Other duties as assigned

Qualifications

Performance Requirements: (Knowledge, skills, and abilities)

  • This involves listening to the nature of the concern, demonstrating empathy with the team member, and providing positive and proactive solutions.
  • Ability to read, write, speak, and understand the English language clearly to ascertain and document important information, to follow written and/or verbal instructions and to provide clear direction and guidance.  Ability to relate to all levels of management and employees in verbal/written form.
  • Answer the multi-line telephone and provide accurate information as needed.
  • Ability to follow written and/or verbal instructions.
  • Sufficient manual dexterity of hand to use computer keyboard, general office equipment, calculator, and multi-line telephone.
  • Ability to access and input information using a moderately complex computer system.
  • Ability to organize/prioritize work, meet deadlines, work with minimal supervision and multiple interruptions.
  • Ability to effectively deal with internal/external team members, some of whom will require patience, tact and diplomacy to defuse anger. 
  • Ability to maintain attendance in conformance with standards.
  • Ability to maintain a neat, clean and well-groomed appearance. 

    Experience  Requirements

    At least 1 year clerical experience or 6 months experience in Human Resources

    Education Requirements

    Any combination of education, training, or experience that provides the required knowledge, skills, and abilities.

    Desirables:

    Microsoft Word, Excel, Outlook, Infinium, Smart Recruiter & ADP

    Bilingual (Spanish)
