Job Description

General Summary Of Duties:

Provide general support of team member services including but not limited to leave of absence and accommodations, team member and/or labor relations matters, unemployment claims, and work certifications/licenses. Maintain department records/files (hard copy and electronic). Follow standard operating policies/procedures and insure compliance with deadlines and regulations. Assist Team Members by phone and in person. Assist Team Member Services (TMS) department staff with other departmental operational duties and projects as assigned. Assist with day to day operation of the department. 

Role and Responsibilities: (Includes but is not limited to the following)

Administer leave and accommodation requests, conduct intake meetings and provide administrative support for team member and labor relations matters. Review, respond, and provide supporting documentation for unemployment claims. Maintain records and ensure that team members are compliant with all work certification and licensure requirements. Assist employees, managers and visitors to the TMS office.  Position requires high volume of incoming and outgoing phone calls. Provide excellent service to our customers. Must be detail-oriented and able to effectively multi-task and quickly adapt to meet deadlines. Provide general support of TMS-related functions as needed.  Perform all duties and responsibilities in compliance with Company and departmental confidentiality standards.

Performance Requirements: (Knowledge, skills and abilities)

Ability to listen effectively, read, write, speak and understand the English language clearly to ascertain and document important information, to follow written and/or verbal instructions, to provide clear direction/guidance. Ability to relate/communicate with other employees and all levels of management.

Ability to organize/prioritize work, meet deadlines, work with minimal supervision/multiple interruptions, exercise judgment and adapt instructions/directions from one assignment to another.

Excellent customer service skills as demonstrated by the ability to listen and respond to employee or management inquiries/concerns using a positive, clear speaking voice, answering questions, and/or offering assistance giving accurate information regarding plans, policy, or procedures within guidelines.

Ability to deal with a number of problems requiring initiative and good judgment.

Ability to effectively use computer systems/programs to perform duties, including but not limited to HRIS and Microsoft Office.

Ability to grasp, bend, lift and/or carry, or otherwise move goods weighing a maximum of 20 lbs. on an intermittent basis, and sufficient dexterity of hand in order to use office equipment including:  computer keyboard, general office equipment and multi-line telephone.

Ability to stand, move and work throughout office area, including walking up to 1 mile, climbing stairs and/or sit at desk workstation for the extended periods of time.

Basic mathematical skills necessary to verify/balance reports and perform simple calculations.  Ability to alphabetize.

Ability to remain alert throughout the duration of the shift and remain calm during emergency situations.

Ability to maintain confidentiality and compliance with Company and departmental policies and standards as well as state and federal laws & regulations. 

Ability to maintain attendance in conformance with standards.

Ability to maintain a neat, clean, and well-groomed appearance.

Bilingual (English/Spanish) strongly preferred. 

Experience  Requirements

Prior experience with leave of absence administration required.

Minimum of one (1) year of experience in Human Resources strongly preferred.

Must be computer literate.

Education Requirements

High school diploma or equivalent
