Job Description

The office coordinator will provide administrative and office assistance across the divisions of the Development group. This position will coordinate team member engagement initiatives, assist management with administrative or office needs and assist with special projects.

Essential Duties and Responsibilities

  • Coordination of team member engagement events and activities
  • Preparations for monthly department meetings
  • Research and execution of items for quarterly town hall events
  • General office administration including correspondence, photocopying, file maintenance, data entry and supply inventory
  • Purchase and manage office supplies via Oracle Fusion Punch out
  • Coordinate, manage and submit new hire paperwork and items for all Departments including but not limited to scheduling onboarding meetings and reviewing onboarding items with new hires
  • PARs, transfers, placement of positions when requested
  • Coordinate, manage and submit Egencia travel for department personnel
  • Information management, filing systems, requisition of supplies, and other clerical services
  • Records, files, stores, and retrieves data as needed
  • Assist Leadership and Executive Assistants with any projects, reports, or presentations
  • Open IT tickets for team members when assistance is requested
  • Other duties as assigned by Department Heads

  • Keen attention to detail with ability to track and manage multiple projects at one time.
  • Skilled and proficient in the operation of modern office equipment, computers, and software, including Microsoft Office applications (Outlook, Word, Excel, Power Point, Project, Visio, etc.)
  • Knowledge of systems applications: SharePoint, Oracle Fusion, ADP preferred but not required
  • Skilled in data entry and proofing of text and numerical entries.
  • Ability to act efficiently on last minute projects.
  • Demonstrated ability to coordinate and facilitate the completion of large administrative projects in a timely manner, including meeting strict deadlines.
  • Proactive and service-oriented but easy-going personality.
  • Self-starter with demonstrated ability to work both independently and within a team.
  • Ease in getting along with team members at all levels.
  • Consistency and a high degree of quality in work.

Education and/or Experience

  • One to three years of stable related experience or equivalent combination of education and experience
  • High school diploma / GED – required
  • Associates Degree – preferred
  • Bachelor’s degree - preferred
  • Timeshare, hospitality, tourism knowledge and/or construction knowledge - preferred, but not required.
