Job Description

Process leave of absence requests in accordance with company leave programs and assist customers with questions, issues, and related information, ensuring compliance with policies and applicable laws.

 Responsibilities

  • Engages in regular, ongoing, and meaningful interaction and communication with the Third-Party Administrator (TPA) about effective management of Westgate’s Family Medical Leave Act (FMLA) program, USERRA military leaves, State Leaves and STD/LTD intake
  • Provide requested information to TPA for short-term and long-term disability requests
  • Create and manage Leave Cases in ADP Time
  • Update Team Members statuses in ADP Vantage
  • Ensure proper record keeping, record retention, and reporting
  • Communicate with medical offices
  • Verify and process the Donating Hours, Paid Pregnancy Leave and Paid Parental Leave
  • Assist Team Members with LOA related concerns/questions regarding donated hours, insurance premiums, payroll, vacation/sick accruals, leaves of absence time frame, paid Family Leave, paid Pregnancy Leave and Parental Leave, etc.
  • Provide and assist TMS reps with access and any questions to TMS programs such as Image Quest (IQ), ADP, AbsencePro, Mutual of Omaha, and JobDesk.
  • Scan TMs’ medical and related files into IQ
  • Support and provide information to other departments such as Unemployment, Risk Mgmt., Payroll, and Benefits 
  • Process TMS related invoices
  • Organize travel for TMS in conjunction with Westgate Business Travel (air, hotel, car rental, etc.)
  • Create and maintain databases, spreadsheets, forms, tables, and charts to organize information for reports
  • Track and process requests and claims for tuition reimbursement and adoption assistance

Qualifications

  • Detail oriented with strong analytical and problem-solving skills; Demonstrated success in assessing
  • and improving processes by bench-marking and other means; Working knowledge of benefit plans, ERISA and other laws governing Team Member benefits; Good customer service, communication, interpersonal, follow-through and teamwork skills
  • Two to four years related experience preferred; or equivalent combination of education and experience
  • Professional certification (CEBS/PHR/SPHR) or working towards certification a plus, PC skills (Excel, Word), ADP timekeeping, a plus
  • Effective written and verbal communications and vendor management skills
  • Proven effectiveness in auditing and problem solving to identify and resolve discrepancies
