Job Description

The Property Controller is directly responsible for all accounting functions for resort operations, F&B, and retail (excluding S&M), safeguarding Company assets, seeking value and cost savings through observations, analyses, and enforcing Company policies. The Property Controller reports to and takes direction from Corporate Accounting in Orlando, with a strong dotted line responsibility to the resort General Manager and F&B Manager.

Essential Duties and Responsibilities:

Daily:

  • Support, guide, & challenge resort leadership.
  • Ensure accuracy and distribution of daily reports.
  • Ensure balance cash/credit card bank deposits to the front desk and F&B/retail point of sale transactions.
  • Ensures cash is safeguarded and deposits are dropped timely to armored card service.
  • Participate in daily operations directors’ staff meetings.
  • Safeguard company assets by assuring income audit addresses all variances.
  • Assist Rental Issues (come from rental issues email address) with deposit transfers, guest credits, or other issues that come up.
  • Compliance with all company policies and procedures
  • Always professionally represents Westgate Resorts.

Weekly:

  • Distribute and ensure that resort management reviews and validates AP and Payroll expense distributions for accuracy.
  • Review and approve the accuracy of weekly Rooms, Occupancy, and F&B flash reports for Corporate Accounting distribution.
  • Assist resort management in analyzing labor standards and checkbook reports. 
  • Provide Corporate Accounting with weekly Controllers Reports.
  • Assist Group Sales Department with Billing and folio corrections.
  • REN paperwork processing and REN tracking.
  • Rental Revenue report checks and balances.
  • Attend weekly Executive meetings.

Monthly:

  • Shared responsibility with the Corporate Accounting team for month-end close.  Responsible for the accuracy and distribution of the monthly financial statements to resort management. 
  • Review monthly P&L with resort leadership.
  • Facilitate monthly critiques with department heads.
  • Perform financial analysis and variance reporting by compiling business reasons for budget and cost standard variances after discussions with resort management for both operating and capital/reserve reporting.
  • Maintain the general ledger and balance sheet account reconciliations preparation or review for assigned accounts in HOA, rental, and F&B companies.  Including the reconciliation of REN to Oracle GL.
  • Safeguard company cash and assets by performing frequent, surprise front desk / F&B cashier bank audits.
  • Review accounts receivable city ledger aging reports.  Assure all collection efforts are being enforced and address management concerning violations of company policy resulting in delinquent accounts.
  • Assist in identifying cost savings between departments (IE: notating similar resources and providing info to department heads)
  • Participate in month-end Inventories.
  • Assist with reviewing areas of exposure (validity of contractor invoices, manual entry of tips and cross-check to POS, etc)
  • Month end Checkbook review with leaders including Corp Accounting to ensure no surprises before preliminary financial reports are distributed.
  • Develop basic financial analysis workshops for newly promoted leaders on how to analyze and interpret profit and loss statements to help them understand the financial implications and improve their decision-making skills.
  • Handles billing and maintenance for the POA/HOA, Rental pools that Westgate is responsible for, and amenity Use Fees where applicable.
  • Assist with updated forecasting of P&L for all entities based on historical data and current trend analysis.

Annual:

  • Work closely with Resort Operations in preparing annual operating budgets for both the rooms division and F&B/Retail.
  • Work closely with Resort Operations in preparing annual Capital / Reserve budgets.
  • Compile approved budgets and footnotes into state-required HOA format for mailing to owners.
  • Attend HOA annual and budget meetings along with providing GM with accounting material pertinent to the meeting.
  • Assist with annual certified HOA audits.

Supervisory Responsibilities:
The Property Controller is responsible for the overall direction, coordination, and evaluation of three (3) team members. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include hiring, and training property accounting staff; planning, assigning, and directing work; rewarding and disciplining team members; addressing complaints and resolving problems.

Education and/or Experience:
Bachelor's degree in Accounting plus seven to ten years of related experience,education and/or training; or an equivalent combination of education, training and experience.
