Job Description

General Summary Of Duties:

Coordinate, manage & prepare all Catering and Meeting event documentation (Banquet Event Orders, Meetings and Catering Events, Convention Resumes, amenity requests, etc...) in a timely manner to all property departments, including customer, reflecting accurately the assigned convention requirements. Ensure a consistent high level of service throughout the pre-planning and execution of all events from check-in to check-out.

This position primarily handles events of all sizes. Ensures the seamless turnover of the booking from the sales team to service back to sales department to book again in the future. Through planning with customers always trying to up-sell all hotel services and amenities.

Role and Responsibilities: (Includes but is not limited to the following)

Follow work schedule with a high degree of reliability

Flexibility to work weekends, evenings, holidays as required by business levels and management.

Maintain professional attire and personal hygiene

Work in a cooperative and friendly manner with all team members

Understand and learn all operating systems, DELPHI, LMS, OUTLOOK, HOTSOS, etc…

Perform job according to standard operating procedures

Timely, accurate & professional communications with all hotel departments

Practice Westgate “Circle of Service” with all employees and guests

Attend all meetings and training classes as required

Conduct Pre-Convention Meetings for all large conventions as required

Timely follow-up with all convention customers.

Qualifications

Performance Requirements: (Knowledge, skills and abilities)

Detailed record keeping in English is required for logs, inspection sheets and inventories. Ability to act independently while analyzing data and drawing conclusions from written and computer generated materials. Assign and instruct banquet service personnel in details of work. Monitor level of workload and make staffing adjustments accordingly. Ability to read, write, speak and understand the English language clearly to ascertain and document important information, to follow written and/or verbal instructions and to provide clear direction/guidance. Ability to exercise judgment and implement control over the performance of staff. Ability to organize/prioritize work, meet deadlines, work with minimal supervision and multiple interruptions, exercise judgment and adapt instructions/directions from one assignment to another. Supervise all staff including: selection, training, counseling and discipline. Basic mathematical skills necessary to operate a calculator, computer and cash register to total guest checks, total all other charges and understand consumption sheets/reports. Ability to access and input information using a moderately complex computer system. Ability to perform duties within hot to normal to cold temperature ranges. Sufficient manual dexterity of hand in order to use kitchen equipment, office equipment including: computer keyboard, calculator, general office equipment and multi-line telephone. This position requires considerable physical activity on a continuous basis throughout the shift. Ability to grasp, bend, lift and/or carry, or otherwise, move or push goods on a hand cart/truck weighing a maximum of 60 lbs. on a continuous schedule. Walk 10 - 15 miles per shift, climb stairs and ride elevator. Perform tasks requiring bending, stooping, kneeling and walking significant distances within the facility.
