Job Description

Manages the Control, Gift Room, and Guest Service Agents. Serves as an administrative assistant to the Director of Marketing. Processes payroll for Field marketing.

DUTIES

  • Works closely with the Brokers who provide tours for Westgate
  • Provides information and handles corrections necessary for their payroll
  • Requests location and MC numbers for new brokers
    Maintains files with broker contracts
  • Provides brokers with Premium information / qualifications, etc.
  • Processes all Gifting, Reservations and Marketing payroll
  • Handles corrections for paychecks
  • Coordinates new hire paperwork with Human Resources
  • Makes sure new team members are in the system in time for payroll processing
  • Works with Orlando for corrections to SAMS reports
  • Requests MC numbers from Orlando
  • Oversees the Control and Gifting staff
  • Responsible for Gift room cash control
  • Sets up contracts with locations for shows and events, including W-9s, check requests. All aspects of setting up for shows and events including preparation of cars, tables, chairs, paperwork and staff
  • Responsible for all file and log maintenance pertaining to shows and events
  • Responsible for tracking Marketing vehicles tags, registration, miles and gas.
  • Create schedules, assigns days off, vacation time, etc.
  • Orders office supplies
  • Serves as IT point person for computers, telephones, printers & fax machine
  • Interviews and hires all new team members
  • Handles all progressive discipline
  • Audits POS paperwork before sending to Orlando
  • Administrative Assistant to the Director of Marketing
  • Runs reports, type memos & newsletters
  • Handles contracts with Brokers, Vendors
  • Manages leases for locations
  • Reconciles rent schedule, tracks & distributes rent checks for locations
  • Supplies reports for Director of Marketing
  • Reconciles, codes, submits & tracks AP requests
  • Tracks, codes & submits any receivables
  • Handles all ordering of Uniforms, supplies for booths, signage, etc.
  • Develops Premium agreements, Location and Sub-lease agreements as needed
  • Obtains Business Licenses for new locations, re-news licenses for current locations

SUPERVISORY RESPONSIBILITIES
Oversee Gifting, Reservations and Marketing staff.

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); one to three years related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS
Ability to read and comprehend instructions, correspondence and memos. Ability to write professional correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients and other team members of the organization.
