Job Description

Executive Assistant – Supply Chain Leadership

San Jose, CA | Global Scope | High-Impact Role

We’re looking for a highly capable Executive Assistant to support senior Supply Chain leadership across Direct Materials Strategic Sourcing & Procurement and the Supply Chain Center of Excellence (SC CoE).

This is not a traditional EA role. You’ll operate as a trusted business partner, enabling leaders to run a complex, global organization by driving execution, aligning priorities, and keeping high-stakes work on track.

What You’ll Do

Own Executive Operations

  • Manage complex, global calendars and optimize leadership time for priority work
  • Run key business cadences (S&OP, QBRs, strategy reviews, CoE governance)
  • Ensure leaders are fully prepared with clear agendas, insights, and context

Drive Execution

  • Capture decisions, track actions, and hold teams accountable to timelines
  • Anticipate issues, remove friction, and keep critical work moving

Lead Communications

  • Act as a key interface for internal teams, executives, and external suppliers
  • Draft clear, executive-level communications and prioritize inbound requests

Manage High-Visibility Work

  • Coordinate leadership meetings, supplier engagements, and global events
  • Support supplier reviews, sourcing activities, and executive reporting

Enable Sourcing & Supplier Strategy

  • Coordinate RFx timelines, supplier interactions, and category team workflows
  • Support development of executive presentations, dashboards, and reports

Support CoE & Transformation Programs

  • Manage governance, roadmaps, and progress tracking for Supply Chain initiatives
  • Maintain critical documentation and drive consistency across programs

Own Planning, Travel & Logistics

  • Manage global travel, offsites, and executive events end-to-end
  • Handle fast-changing priorities without disruption

  • Highly organized with the ability to prioritize, anticipate, and execute independently

  • Comfortable working across teams and at all levels of the organization

Qualifications

Preferred Qualifications

  • Experience supporting Strategic Sourcing, Category Management, or Direct Materials Procurement teams
  • Understanding of the end-to-end sourcing lifecycle (RFI/RFP/RFQ, supplier evaluation, negotiation, contract execution)
  • Familiarity with Supply Chain CoE models, governance frameworks, and continuous improvement (Lean, Six Sigma, SCOR)
  • Working knowledge of core supply chain concepts (S&OP, QBRs, Incoterms, lead time, TCO, demand planning)
  • Experience with project and collaboration tools (Smartsheet, Asana, Monday.com, or similar)
  • Bachelor’s degree in Business, Supply Chain, or related field (or equivalent experience)
