Job Description

Our Administrative Assistant assist the Shop Manager with all necessary administrative functions.


  • Input and track new Fleet Truck Sales units on a log and report to appropriate personnel.

  • Input and track status of warranty parts.

  • Input and track Paid Time Off for shop employees.

  • Input of new Trucks into the AS400 and send and track delivery of receipts of new trucks. 

  • Check Pre-Delivery Inspection forms for accuracy, copy, file and send to appropriate personnel.

  • Complete fuel inventory. Read fuel level using a Veeder-Root (computer), reconcile fuel records and send report to appropriate personnel.

  • Input daily productivity numbers and send to appropriate personnel.

  • Input daily units completed, detailing type of repair and send to appropriate personnel.

  • Prepare new truck prep report and send to appropriate personnel.

  • Process new hire paperwork to include copying, filing and mailing to appropriate personnel.

  • Administer and track written driving tests and complete driving tag requests.

  • Perform employment verifications, complete MVR and background requests on new hires.

  • Schedule and organize Safety Meetings.

  • Sort and inspect DOT and Safety Lane sheets for accuracy and send to appropriate personnel.


  • High school graduate or equivalent experience.

  • Good organizational skills and attention to detail.

  • Skill in operating a P.C.

  • One to two years’ experience with office machines, fax, copiers, computers, etc.
