Job Description

Manage the event planning and execution for a variety of Wellmark internal and external educational, promotional and engagement events and meetings. Will oversee the entire event experience and ensure event meets stakeholder expectations. Track all applicable expenses, conduct reconciliations and prepare event budget projections.

Qualifications

Required:

  • Bachelor’s Degree in related field or direct and applicable work experience
  • 2+ years of facilities event planning experience
  • Experience with managing relationships with vendors
  • Excellent attention to detail, organization, and time management skills with the ability to prioritize tasks under tight timeframes/deadlines; ability to carry out multiple responsibilities with minimal supervision
  • Strong written/verbal communication skills with the ability to articulate clear, concise information to a variety of internal/external stakeholders, vendors, etc
  • Ability to consult and negotiate effectively
  • Punctual, dependable, attentive to details, and dedicated to achieving operational excellence through events that meet and/or exceed attendees’ expectations
  • Proficient with Microsoft Office
  • May need to work evenings and weekends for events as business needs dictate
  • Travel required between 10-20% and a valid driver's license.

Additional Information

Job Responsibilities 

a. Plan and execute events for a variety of internal and external meetings (e.g. product launch events, agent/broker or group forums, sales training, board meetings, employee appreciation events, company meetings, etc).

b. Manage all aspects of event operations; including invitations, managing attendance/RSVP’s, event registration, selecting accommodations/venues and meals. Consult with stakeholders on options for the event.

c. Collaborate with internal communications and leadership to understand concept/vision/messaging of events, and ensure all communication materials are tailored to meet the needs of the audience.  

d. Partner with Procurement to ensure vendor contracts are executed in a timely and accurate fashion.

e. Serve as a coach and mentor to the Event Coordinator by providing direction, subject matter expertise, and guidance.

f. Leverage available resources internally and externally to coordinate all the details required to ensure an event runs smoothly and successfully. This includes facilitating audio/visual needs for meetings, coordinating the event floor plan, and partnering with appropriate Wellmark business unit/SME (and other stakeholders as necessary) to develop run of show and appropriate lead time to deliver the appropriate messaging/content to achieve business objective. Attend events as needed and troubleshoots any issues that may arise.

g. Assist business units in tracking all applicable expenses; assist in conducting reconciliations, budget preparation and preparing reports on activities costs.

h. Develop and maintain SharePoint site for all events, and provide technical support to all Wellmark stakeholders in regards to the site.

i. Other duties as assigned.
