Job Description
About the Role: As Executive Assistant you'll partner with the Chief Financial Officer to aid in delivering strategic divisional and organizational objectives. You will expertly handle a complex calendar and inbox, provide advanced meeting support and coordination, and proactively prepare refined agendas and presentations. You will play an integral part in representing your executive both internally and externally and serve as a trusted liaison and advisor taking initiative to support special projects, and assist with communications. You will partner closely with the other Executive Assistants and Administrative Assistants within the division and work across the company to deliver results collaboratively.

Qualifications
Preferred:
- Experience supporting C-suite executives or senior leadership in a finance focused environment.
- Strong knowledge of enterprise-level collaboration tools such as Microsoft Teams, Outlook, SharePoint, and other MS products and similar platforms.
- Familiarity with project management principles and tools.
- Proven experience in coordinating cross-departmental initiatives.
- Exceptional organizational skills with a track record of seamlessly managing complex schedules and logistics.
- Prior experience in a large organization with exposure to many levels of leadership and divisions.
- Demonstrated ability to drive process imrpovements and implement operational efficiencies.
- Proven ability to mentor or supervise administrative staff when needed.
- Commitment to ongoing professional development through certifications, training, or workshops.
Required:
- Associate’s Degree in Business, Administration, Office Administration, or related
- 7+ years of related work experience:
- A minimum of 4 years of experience as an executive assistant or related role in a large, complex organization.
- Professional, polished and willing to provide the highest level of customer service at all times.
- Knowledge of Microsoft Office products and demonstrated PC skills.
- Ability to use innovation and initiative to handle and prioritize multiple tasks and responsibilities in a fast-paced environment. Flexible and adaptable to change.
- Strong analytical and problem solving skills.
- Evidence of “big picture” perspective and ability to balance competing priorities or conflicting demands.
- High level of initiative, effort, leadership, and commitment towards completing assignments efficiently and anticipating needs of EVP.

Additional Information
a. Administrative Support - Specific administrative accountabilities vary by division (i.e. admin support for Legal may include preparation of legal documents/letters). General administrative accountabilities include: EVP’s responsibilities are facilitated and workload alleviated by the anticipation of needs, organization of work, coordination of functions, follow up with staff members on assignments, taking actions on behalf of the leader and representing/communicating with other parties on behalf of the leader. Actively monitor EVP inbox to proactively manage inquires and meeting requests. Effective communication skills and judgment are utilized in order to serve as a trusted liaison and representative of the EVP. Provide back-up to other Executive Assistants and the Assistant to the CEO as needed to ensure all executives have assistance as needed.
b. Time Management – EVP’s appointments are accurately managed by resolving time conflicts, scheduling meetings, prioritizing and managing multiple inquiries. Issues of a routine, sensitive, or priority nature, are handled with discretion, confidentiality, diplomacy and tact.
c. Budget - Participate in the budget process for the EVP’s division to ensure timely completion, including but not limited to planning, data entry, account reconciliation and the timely handling of bills with internal and external customers/vendors.
d. Project Management - Leadership is provided on projects as assigned. This includes planning, managing resources, communicating issues and recommendations, and meeting deadlines.
e. Reporting - Maintain databases, coordinate the gathering of information, and prepare complex presentations or reports for the senior leader. Exercise solid judgment/discretion in the collection and dissemination of sensitive/confidential information. This could include confidential documents such as business plans, legal actions, personnel information, etc.
f. Customer Service - A positive and professional image of Wellmark is presented to external strategic partners, board members, and staff of all levels. Relate and communicate effectively with customers and external and internal strategic partners.
g. Board Preparation – May provide administrative support to EVP as needed in preparation for presenting information to the Board of Directors. May support the Board Secretary as appropriate and determined by the CEO.
h. Communication - Strong written communication skills will be utilized in the proactive preparation of ad-hoc requests from the EVP; including both internal and external communications and inquires.
i. Other duties as assigned.
