Who will you be working with?

You will be part of the Supply chain team, working closely with Sales, Production Planning, Logistics, Finance, Quality, and customers. The team plays a key role in ensuring accurate order processing, reliable customer communication, and timely order fulfilment through effective coordination across multiple internal functions.

How will you make a difference?

As a Senior Sales And Administration Specialist, you will be responsible for managing the administrative sales and order management process for an assigned customer portfolio. You will ensure that customer orders are accurately entered into the ERP system, coordinate fulfilment dates with Production Planning, and provide customers with reliable and timely information regarding their orders. This role serves as a critical link between customers and internal stakeholders, helping to maintain an accurate orderbook, manage shipping schedules, and proactively escalate risks that may impact customer deliveries. This is not an active sales position and does not include responsibility for business development or commercial negotiations.

What do we want to know about you?

  • Higher education in business, logistics, engineering, supply chain management, or a related field.
  • Experience in customer service, order administration, sales administration, or customer support roles within a manufacturing or industrial environment.
  • Experience working with ERP systems (SAP, Oracle, Microsoft Dynamics, or similar).
  • Good knowledge of Microsoft Office applications, particularly Excel.
  • Proficiency in Polish and English is required
  • Strong organizational and administrative skills with attention to detail.
  • Ability to work effectively across multiple functions and manage priorities in a dynamic environment.
  • Customer-oriented mindset with strong written and verbal communication skills.
  • Reliable, accountable, and committed to timely execution of tasks.

What will your typical day look like?

  • Receive customer orders, validate order information, and enter orders into the ERP system in accordance with company procedures.
  • Coordinate with Production Planning to obtain confirmed delivery and fulfilment dates.
  • Prepare and send order confirmations and fulfilment information to customers.
  • Maintain and reconcile customer orderbooks, ensuring accuracy of quantities, delivery dates, and reference data.
  • Prepare, update, and manage customer shipping schedules and communication lists.
  • Provide customers with accurate order status updates based on approved internal information.
  • Maintain documentation, correspondence, and records related to customer orders and commitments.
  • Collaborate with Planning, Supply Chain, Logistics, Finance, and Quality teams to ensure data accuracy and alignment.
  • Identify and escalate risks, delays, and discrepancies that may affect customer order fulfilment.
  • Support continuous improvement of customer service and order management processes.
