We are searching for a dedicated and passionate individual who is ready to join a company that is currently building strong momentum and growth. The Executive Assistant to the Director of Business Development is required to be a proactive and self-motivated individual who possesses exceptional multi-tasking and communication skills, both oral and written. A high level of organization, attention to detail and flexibility are essential for this role. Successful candidates are able to work well with all levels of internal management and staff, outside clients and vendors. Sensitivity to confidential information may be required. It is crucial that the candidate thrive in our entrepreneurial company culture where change is constant, growth is immense and opportunities abound.

Essential Responsibilities

  • Support the executive in managing his multiple teams (e.g. timesheet review, coordinating internal and external meetings, communicating teams’ requests/needs, etc.)
  • Effectively and proactively manage the executive’s calendar, appointments, and travel – including all logistics (catering, agendas, and facilities)
  • Inform and follow-up with the executive with assignment progress in an effective, efficient and timely manner
  • Provide administrative support to departments to include, but not limited to: manage team office supply requests, local and domestic travel arrangements, and other requests as needed
  • Prepare, maintain, generate and process operational and legal documents and records (e.g., expense reports, PRFs, disbursements, NDA, vendor agreements, etc.)
  • Maintain various databases as directed by the executive
  • May perform other duties as assigned

Qualifications

  • Bachelor’s Degree
  • 1-2 years’ experience directly supporting an executive
  • Ability to build and maintain strong relationships across the organization to influence and achieve objectives
  • Excellent written and verbal communications skills
  • Ability to manage complex schedules and travel arrangements
  • Work autonomously within established procedures and practices
  • Advanced problem-solving skills
  • Demonstrate strengths in customer focus, problem solving, time management, interpersonal relationships, planning, organizing, composure and an action-oriented drive for results
  • Prepare reports and financial data
  • Proficiency in Microsoft Office Suite and G-Suite
  • Ability to work in a dynamic work environment
  • Strict attention to detail
  • Ability to work weekends (when needed)
  • A bilingual (English & Korean) candidate is preferred
