Why join us?

To support Voyage Privé's growth, we are opening a contracting office in Dubai. In the lauching of this new office we recruit Supply Assistant based in Dubai.The Supply Assistant is responsible for day-to-day relations with the Global Buyers to whom support is provided, as well as with the partners within the scope entrusted to him/her (Hotels, etc.). He/she provides operational, commercial and administrative support. He/she manages all operations that precede, accompany and follow the sourcing and construction of offers in liaison with the Global Buyers within his/her scope. He/she plays a key role in developing customer/partner relations and in coordinating internal relations, in particular with Sales.

Your main tasks (non-exhaustive list)

Relations with current or future partners/prospects

▪ Ensure that appointments are made with existing partners or prospects and participate if necessary in the preparation of Partner meetings.

▪ More specifically for prospects, ensure a close and careful link so as to demonstrate maximum responsiveness in the management of the commercial relationship.

▪ May be required to take part in partner meetings in order to gain a better understanding of Supply issues, Partner relationships and current or future business prospects.

Managing contracts with our recurring or occasional partners

▪ Gather the information required from buyers in order to draw up complete commercial contracts in line with the deals defined between Global buyers and partners.

▪ Occasionally intervene in the finalization of offers directly with Suppliers, in agreement with the Purchasing Manager.

▪ Guarantee the completeness and accuracy of contracts (FSA) and send them to the various stakeholders for validation.

Key interface on the production and follow-up of offers

▪ Create and parameterize sales in our internal tools from pricing offers negotiated by the buyer.

▪ Guarantee the conformity of sales before they go online through detailed verification: price consistency and validity of information in the product sheet.

▪ Advise buyers on the technical feasibility of negotiated offers.

▪ Monitor the bid production process, particularly with regard to meeting deadlines throughout the value chain.

▪ Carry out all necessary benchmarks (manual or automatic) to define the best price positioning for each offer.

▪ Check proofs, product sheets, descriptions and photo libraries prior to any downstream transmission for bid preparation.

▪ Manage modifications with the Content and Loading teams.

But also ...

▪ Manage incoming flows linked to pricing errors: handle the pricing error by making corrections to the offer if necessary (depending on your investigation: liaise with the supplier, buyer, or technical support).

▪ Manage incoming flows linked to stock errors (e.g.: stop sales issues to be managed during the sale) as well as those linked to product quality problems (e.g.: added value included in the contract but not delivered to the customer - obtain a supplier credit note).

Stock management with our partners and buyers

▪ Monitor stock levels for each offer vs. contractual stock levels and regularly inform our partner and buyers (notably out of stocks/ Stocks alert).

▪ Monitor any renegotiations following internal and external price or stock updates.

▪ Identify during these exchanges the existence of additional stocks enabling additional sales to be generated.

Qualifications

- You have a commercial profile and a real appetite for customer relations - Commercial sense.

- At least 12 months' experience in supply/sales or travel would be a plus.

- You English is fluent

- You are familiar with office software and internal production tools (in-house training).
