Job Description
The Executive Assistant provides high-level administrative and operational support to multiple executive team members across the Mexico team, helping ensure the smooth execution of priorities in a fast-paced, results-driven environment.
This role is responsible for managing complex calendars, meetings, travel arrangements, expenses, and day-to-day logistics with a high degree of accuracy, responsiveness, and professionalism.
The position also coordinates executive communications, prepares presentations, reports, and business documents, and consolidates information from multiple sources into clear, concise, and executive-ready materials. In addition, the role supports vendor and financial processes, including purchase and work orders, expense validation, budget tracking, and compliance with company policies, contracts, and internal controls.
This individual partners closely with cross-functional teams across Sales, Marketing, Risk, Innovation, Finance, and regional and global stakeholders to facilitate coordination and follow-through on key initiatives. The role requires strong judgment, attention to detail, and the ability to manage confidential and business-critical matters with discretion. To drive speed, quality, and efficiency, the Executive Assistant is also expected to leverage AI and digital productivity tools in daily work to streamline workflows, summarize information, draft communications, improve reporting, accelerate deliverables, and enhance team effectiveness, always in accordance with company confidentiality, data privacy, and security standards.
This is a hybrid position. Expectation of days in office will be confirmed by your hiring manager.
Qualifications
Qualifications:
- Proven experience in executive support, administrative operations, or business coordination roles, preferably supporting multiple senior leaders in a corporate, commercial, or matrixed environment.
- Strong organizational and multitasking skills, with the ability to manage competing priorities, solve routine to moderately complex issues, and deliver high-quality work under time pressure.
- Excellent communication skills in English, with the ability to interact confidently with senior stakeholders, vendors, and cross-functional teams; Spanish and/or Portuguese is a plus.
- Strong proficiency in Microsoft Office, AI tools, Concur, Navan, Ariba and collaboration tools, with demonstrated ability and willingness to use AI-enabled tools to improve productivity, quality, and speed of execution.
- High level of discretion, sound judgment, and professionalism in handling confidential and business-critical information, combined with a proactive, self-motivated, and service-oriented mindset.
