Job Description

The Executive Assistant role directly supports the Senior Vice President of Corporate Communications, Europe, and supports the broader Communications Leadership Team (CLT), as well as providing office management, social event and administrative support to the entire Corporate Comms function. Responsibilities include diary, email and folder management, expense management, coordinating travel, event planning, and operational support.

This is an ideal position for an individual with an administrative and planning background, looking to develop their capabilities, working in a dynamic, fast-paced environment.

What we expect of you, day to day:

Administrative Responsibilities

  • Executive scheduling: Assist in the management of the Senior Executive’s calendar including scheduling meetings, setting up conference calls and arranging travel. Discretion and prioritisation are key. Also assist in the scheduling of team volunteering and engagement activities, and coordinating diaries across the CLT and broader team for team-wide sessions.
  •  Expense and Budget Management:  Process expense reports on behalf of the Executive and the Communications Leadership Team in a timely manner.  Also provide purchase order and invoice support to the wider business unit where needed.
  • Logistical Coordination: Plan and manage logistics related to Executive travel and Executive/team meetings and events (onsite and offsite), as well as manage the booking of meeting rooms for Executive and team meetings. Also support the wider team in the procurement of travel and other logistics (e.g. catering for visitors, room bookings etc.)
  • Operations: Work closely with the Strategy and Operations team to drive as a seamless work environment for the broader team. Act as a lynch pin in the team in terms of team whereabouts and activity. 
  • Document Maintenance: Maintain communications process documentations, distribution lists, assets library and message archives in accordance with records management requirements.
  • Training Programmes: Arrange and coordinate functional training programmes for the Europe Corporate Communications team in partnership with key business partners (e.g., finance/procurement) and the Communications Leadership Team.
  • Team Engagement: Develop fun and engaging social programmes for the wider team, including volunteering, virtual activities and in-person sessions
  • Liaison: Communicate with a broad range of Visa professionals on behalf of the department, acting as an ambassador for the team. Partner and coordinate workload with other administrative team members.
  • Document Creation: Assist with developing and updating PowerPoint presentations, Excel spreadsheets and other related materials as needed.

Qualifications

• Administrative experience in Office Management, must have experience in supporting Senior Executives in a fast-paced, public-facing executive office.
• Strong verbal and written communication skills, excellent attention to detail and an ability to communicate effectively with all levels.
• Demonstrated professionalism and experience in working with highly confidential information.
• Experience in budget and expense management.
• Exercise excellent judgment in setting priorities and interacting with internal and external contacts.
• Can-do attitude and team player mentality, must be proactive and solution oriented, looking for ways to add value and assist the team.
• Exceptional project management capabilities.
• Work well under pressure and respond to tight deadlines, able to organize and prioritize across competing priorities.
• Ability and openness to actively use different internal systems (e.g. Ariba, Concur etc.) and technology to complete tasks.
• Advanced MS Office skills (Teams, Word, Outlook, Excel & PowerPoint).
