Job Description

Team Summary

The Emerging Products team leads the way in creating new products and capabilities for Visa. The Executive Administrator is a key part of the team and will help to improve the team's performance. 

The Executive Administrator role will provide administrative support to two or more Vice Presidents and general help their team members. This role is an individual contributor with primary focus on execution. This position gets a moderate level of guidance and supervision.

Essential Functions

  • Managing complex calendar scheduling including video conference / telepresence, trainings (off-site and/or internal) and group events.
  • Making travel arrangements.
  • Processing expense reports in a timely manner.
  • Preparing meeting materials, including assisting with the creation of presentations, handouts and other related materials.
  • Support projects as needed for leadership.
  • Establish and maintain effective and cooperative professional business relationships with all levels of management, employees and outside companies.
  • Support project activities as required
  • Effectively and successfully respond to problem situations and prioritize issues
  • Assist with developing and updating PowerPoint presentations, Excel spreadsheets and other documents as needed, such as organizational charts and group lists
  • Support key team initiatives, playing a part as a project coordinator.
  • Demonstrate flexibility and problem-solving abilities to adjust or prioritize schedules based on last-minute changes
  • Ability to manage team and client events offsite, Foster City office or other Bay Area offices

 

This is a position that is based at Visa's headquarters in Foster City, California.  We are an in-person team with senior leaders coming more than 3 to 4 days a week. We offer flexibility to work from home on a need basis.

This is a hybrid position. Hybrid employees can alternate time between both remote and office. Employees in hybrid roles are expected to work from the office 2-3 set days a week (determined by leadership/site), with a general guidepost of being in the office 50% or more of the time based on business needs.

Qualifications

Basic Qualifications:

  • Minimum of 6 months of work experience or a Bachelor's Degree

Preferred Qualifications

  • • 2 or more years of work experience
  • At least 5 years of work experience in office management or executive assistance.
  • Ability to prioritize multiple tasks independently
  • Have worked in environments supporting two different executives
  • Outstanding planning, organizational, written and verbal communication skills
  • Efficient collaboration and communication skills
  • Skill with Microsoft Office and the ability to create PowerPoint presentations
  • Administrative experience, at a global large enterprise

Additional Information

Work Hours: Varies upon the needs of the department.

Travel Requirements: This position requires travel 5-10% of the time.

Mental/Physical Requirements: This position will be performed in an office setting.  The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.

U.S. APPLICANTS ONLY: The estimated salary range for a new hire into this position is 72,900.00 to 103,050.00 USD per year, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position may be eligible for bonus and equity.
