Job Description

Legal Operations is seeking a talented Program Management Associate (non-technical) to join the team to assist with department programs and initiatives. The successful candidate must have strong attention to detail, the ability to handle multiple projects, and excellent interpersonal and communication skills.  This position will report to the Senior Program Manager of Training & Legal Programs.

  • As a program management associate, you will support the planning and execution of various projects and initiatives across the Legal, Ethics & Compliance function.

  • You will work closely with the program manager, team leaders, and stakeholders to ensure that the goals, objectives, and deliverables are met.

  • You will also assist with reporting, communication, and documentation of the program activities and outcomes.

Essential Functions

  • Coordinate, schedule and support multiple department meetings, orientations, initiative events and trainings programs, ensuring that they are aligned with the strategic priorities and operational plans of the organization.

  • Provide administrative and logistical support for all department town hall meetings, trainings, and events to ensure meeting rooms are reserved and other logistics are timely made, including making sure internal partners are also aligned with necessary logistical support.

  • Timely prepare and disseminate calendar invites, department communications (including newsletters, new hires and department initiatives/events announcements), meeting/program presentation slide decks, and other relevant materials, while ensuring proper communication processes are followed.

  • Communicate effectively with internal and external stakeholders, such as program presenters, partners, and participants to ensure all necessary content and information are obtained, and the program expectations and requirements are met.

  • Assist with maintaining and updating department SharePoint site/intranet and resources to ensure contents and materials are current.

  • Assist with issuance of Mandatory Continuing Legal Education (MCLE) credit to relevant training participants and maintenance of records to ensure continuous compliance as an MCLE provider with the State Bar of California, and provisioning user access to CLE provider, Practicing Law Institute and other online resources.

  • Collaborate with University team partners to create/add learning content on online learning platform, and to assign University credit for participating in learning events.

  • Provide support for department special projects as appropriate.

  • Analyze and evaluate the delivery and impact of program initiatives and/or events, using qualitative and quantitative data, and provide feedback and recommendations for improvement.

  • Identify and escalate any issues or risks that may affect the program delivery and quality, and propose solutions to mitigate them.

  • Contribute to the continuous improvement of the processes and practices used to deliver program initiatives/events, and share best practices and lessons learned with program manager and stakeholders.

This is a hybrid position. Hybrid employees can alternate time between both remote and office. Employees in hybrid roles are expected to work from the office 2-3 set days a week (determined by leadership/site), with a general guidepost of being in the office 50% or more of the time based on business needs.

Qualifications

Basic Qualifications
• Minimum of 6 months of work experience or a Bachelor's Degree

Preferred Qualifications

• Two (2) or more years of work experience preferably in a global, public company or a law firm with a Bachelor’s Degree (or equivalent).

• Strong PowerPoint skills with a keen eye for creativity and presentation deck design. (A PowerPoint sample document may be requested.)
• Ability to originate creative presentation deck design and propose fun and innovative ways to present/communicate content to the relevant audience.
• Proficient in other Microsoft Office applications, including Outlook, Word, Excel, SharePoint and Teams.
• Excellent communication and writing skills, collaboration, and problem-solving skills.
• Strong attention to detail, organization, and time management skills.
• Proactive, flexible and adaptable, with a positive attitude and a willingness to learn and grow.
• Must be a self-starter and able to work with limited supervision.
• Ability to work independently and as part of a team in a fast-paced and dynamic environment.
• Ability to effectively communicate and collaborate with a diverse range of people and job functions. Experience working with teams outside the US is a strong plus.
• Exercise excellent judgment in setting priorities and interacting with internal and external contacts.
• Demonstrated ability to anticipate the needs of the team.

Additional Information

Work Hours: Varies upon the needs of the department.

Travel Requirements: This position requires travel 5-10% of the time.

Mental/Physical Requirements: This position will be performed in an office setting.  The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.

U.S. APPLICANTS ONLY: The estimated salary range for a new hire into this position is 72,900.00 to 93,000.00 USD per year, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position may be eligible for bonus and equity.
