Job Description
The Office Manager will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety. The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, sourcing and payments, inventory control, office staff supervision and task delegation.
Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored
Go to person for maintenance, mailing, shipping, supplies, equipment, bills and errands
Partner with HR to maintain office policies as necessary
Lead and manage the on-boarding of new employees following the internal process and alignment with the internal immigration team.
Manage and monitor the company’s Saudization rate with periodic updates to the internal management and highlight any key risks.
Lead and manage the off-boarding employees, collect all the company assets and required paperwork for immigration documents.
Coordinate with IT department on all office equipment
Working closely with the controllership and compliance teams to maintain highly controlled environment.
Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time
Manage contract and price negotiations with office vendors, service providers and office lease
Makes sure all business and trade Licenses are updated, follow-up official approvals and permits, to prevent unnecessary violations.
When needed, represent the company at different offices whether governments or external partners to solve complex situation
Establish a historical reference for the office by outlining procedures for protection, retention, record disposal, retrieval and staff transfers
Organize and schedule meetings and appointments for the office and the GM
Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts and office systems
Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office
Perform review and analysis of special projects and keep the management properly informed
Responsible for ensuring office financial objectives are met by preparing annual budget for the office, planning the expenditures, analyzing variances and carrying out necessary corrections that may arise
Participate actively in the planning and execution of company events
Responsible for developing standards and promoting activities that enhance operational procedures
Allocate available resources to enable successful task performance
Coordinate office staff activities to ensure maximum efficiency
Analyze and monitor internal processes
Implement procedural and policy changes to improve operational efficiency
Prepare operational reports and schedules to ensure efficiency
This is a hybrid position. Hybrid employees can alternate time between both remote and office. Employees in hybrid roles are expected to work from the office 2-3 set days a week (determined by leadership/site), with a general guidepost of being in the office 50% or more of the time based on business needs.
Qualifications
• Saudi National
• 7 years of previous office management experience in multinational organization.
• English & Arabic fluent Communication Skills.
• Excellent accounting & Budgeting skills and advanced level of using MS tools
• Strong knowledge of Saudi labor and immigration rules
