Job Description
Visa is searching for an experienced Executive Administrator to provide support to the Global Marketing Services Team, based in New York, NY
This position will be responsible for a broad range of administrative support duties and project coordination. The successful candidate has demonstrated the ability to support several senior leaders with varied job roles and to collaborate with peers and others to support departmental and office activities. We are looking for someone who takes great pride in being an Executive Administrator, and who brings a curious, always learning mindset to our team.

The Executive Administrator needs to demonstrate a high client orientation, strong organization skills, executive presence, and effective communication. This role requires a proactive self-starter who can work independently and anticipate client needs and is comfortable with both admin support duties as well as special projects.
Essential Functions
- In this role you will provide executive level administrative support (primary function of the role), including managing multiple executive calendars in parallel, booking and managing executive travel plans, managing expense reports and creating purchase requisitions using Visa tools as needed
- You will perform team support duties including ordering office supplies, booking meeting rooms, processing training registrations, updating distribution lists, managing online collaboration tools like Microsoft Teams and SharePoint, and updating organizational charts
- Plan and provide support for onsite, offsite, and virtual team meetings and events, including coordinating conference room set-up, catering, A/V, and other logistical arrangements
- Coordinate on-boarding of new employees and contractors, and associated tracking
- Assist with workspace management, move requests and facilities work orders
- Assist with developing and updating PowerPoint presentations, Excel spreadsheets, and other charts and documents in support of team activities
- Provide support and management for special projects and initiatives, including coordination of key projects
- Establish and maintain effective and cooperative professional business relationships with all levels of management, employees and outside contacts as a highly visible representative of the team
- Partner and coordinate workload with other administrative team members and provide backup support when needed
- This role may require over-time as agreed with management for special projects
This is a hybrid position. Hybrid employees can alternate time between both remote and office. Employees in hybrid roles are expected to work from the office 2-3 set days a week (determined by leadership/site), with a general guidepost of being in the office 50% or more of the time based on business needs.

Qualifications
Basic Qualifications:
- Minimum of 6 months of work experience or a Bachelor's Degree
- You have prior experience working as an Executive Administrator/ or Executive Assistant, working in fast moving environment, supporting senior leaders
- You have prior experience and are proficient in managing multiple executive calendars, arranging travel, managing expenses.
Preferred Qualifications:
- 2 or more years of work experience
- You have strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams, and SharePoint)
- You have prior experience managing and track expenses, experience with Concur and Ariba systems helpful
- You have strong passion for supporting the growth and development of new teams, including helping build strong team culture
- You have exceptional judgment and discretion regarding information, which may be confidential, material and/or non-public
- Highly organized with ability to manage multiple projects effectively
- You have strong attention to detail
- You have excellent communication skills
Additional Information
Work Hours: Varies upon the needs of the department.
Travel Requirements: This position requires travel 5-10% of the time.
Mental/Physical Requirements: This position will be performed in an office setting. The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.

U.S. APPLICANTS ONLY: The estimated salary range for a new hire into this position is 69,000.00 to 88,000.00 USD, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position may be eligible for bonus and equity.
