What’s it all about?

At Visa, we have an exciting opportunity for a responsible executive administrative to support for two Vice Presidents within the Legal and Compliance Group and project management/coordination for the Ethics & Compliance Team and Regulatory Law Team in Europe. This role will be a mix of traditional administrative work along with project management/coordination. We are looking for applicants who have a constant record of high achievement, professionalism, reliability, and excellent organizational skills.

 

What we expect of you, day to day.

Reporting and Project Work

  • Participate as needed projects to solve complex problems regarding project, department or division-related work. Analyse problems, determine approach, compile and analyse data, and prepare reports/recommendations
  • Manage of the E&C reporting - weekly, monthly, quarterly and annual Ethics & Compliance reporting obligations through setting up and managing the reporting schedules and managing the delivery of the reports
  • Support on ad-hoc reporting and presentation preparation for activities such as regulator engagements, senior manager meetings etc.  
  • Manage the budget and monthly / quarterly invoicing process on behalf of the Regulatory Law Team and Ethics & Compliance Team. Engage with key external and internal stakeholders as required in the process

Executive Administration Support

  • Schedule meetings through Outlook, secure call-in numbers, prepare meeting agendas and manage attendance registration and logistics. Maintain a clear and concise calendar for each VP you support
  • Provide administrative support for day-to-day operations as well as individual projects
  • Assist with office management within department – including ordering and receiving of office supplies, catering, etc.
  • Assist with conference room scheduling across the office
  • Act as a liaison, problem solver, and facilitator as the first contact for each VP and their respective teams when required
  • Serve as point of contact for all office visitors (including company personnel) and deliveries
  • Arrange domestic and international travel, complete travel expense reports, and manage logistics of travel-related activities
  • Budget management: Helping to coordinate the team budgets and forecasts and tracking spend against budget forecasts throughout the year
  • Expense management: Handle expense reports and reconciliation on behalf of the VPs
  • Assist HR with candidate interview schedules and recruitment process on behalf of VPs
  • Document maintenance: Maintain communications process documentation, distribution lists, asset library and message archives
  • Manage agreements, contracts and invoicing with outside consultants and contracts; establish PO’s and work agreements
  • Meetings and Events support: Participate in the planning and execution of department meetings and employee engagement events including assistance with meeting agenda and presentation, securing offsite meeting venue and arranging team activity and catering

Qualifications

• Degree, Diploma or equivalent professional experience
• Advanced administrative/project management skills executing experience supporting senior level management
• Ability to use a range of systems and tools including advanced experience with Microsoft Office (Outlook, Teams, Word, PowerPoint, Excel, Visio, budgeting tools as well as Ariba for raising invoices/purchase orders and Concur for expense management
• Positive can-do personality and ability to see the big picture
• Ability to partner and work cooperatively with all levels including Executive Leadership and Senior Management
• Highly organised, detail-oriented self-starter who is resourceful and can think outside the box
• Strong organisational skills and the ability to be extremely flexible while managing conflicting, shifting, and competing priorities with minimal supervision
• Ability to meet tight deadlines and coordinate stakeholders to meet quarterly reporting requirements
• Strong communication skills (written and verbal), with the ability to effectively communicate and collaborate with a diverse range of people and job functions
