Job Description

Visa is looking for an experienced Executive Administrator to support the SVP, Visa Garage managing a fast paced, dynamic environment, handling details of a highly confidential and critical nature. This role requires a broad working knowledge of departmental and company policies and practices. The individual in this role will be empowered to think outside of the box, be autonomous, proactive, and make recommendations in support of the strategy, schedule, and priorities of the leaders of the business. Responsibilities include administrative support, event planning, and operational support. The successful candidate will have demonstrated high client orientation, strong organization skills, executive presence, and effective communication. A self-starter who can work independently and anticipate client needs and is comfortable with both administrative support duties as well as complex, special projects.  

Essential Functions:

  • Proactive Calendar Management:  Lead and manage the Executive’s calendar, including scheduling and setting up meetings and proactively managing conflicts based on understanding of priorities.
  • Meeting, Travel and Events Planning: Arrange complex, international & domestic executive travel and full travel itineraries, executive/team meetings, and events.
  • Liaison: Communicate, problem solve and be a point of contact for a broad range of internal and external professionals on behalf of the Executive.
  • Partner: Effectively collaborate with Leadership, Senior Executive Assistants, and employees at all levels to ensure an efficient and effective working environment.
  • Expense Management: Submit accurate expense reports on behalf of the executive, review and approve expenses for key team members and submit/track/confirm functional operational expenses (e.g., POs, etc)
  • Be highly proactive (day ahead, week ahead, month ahead, quarter ahead), take ownership to anticipate needs and ensure a smoothly functioning office.
  • Be adept at managing-up and downstream to ensure deliverables are met timely and accurately
  • Understand the organization and how to “get things done”
  • Establish and maintain effective and collaborative professional business relationships with all levels of leadership, employees, and outside contacts as a highly visible representative of the team
  • Apply exceptional judgment to organize and prioritize across a complex global organization
  • Manage high volume of email and other communications and synthesize actions needed to act quickly, seamlessly, and professionally, using discretion, confidentiality, and good judgment to handle sensitive matters
  • Prepare and edit correspondence, communications, presentations and other documents

Qualifications

Basic Qualifications
2 or more years of work experience with a Bachelor’s Degree or an Advanced Degree (e.g. Masters, MBA, JD, MD, or PhD)
Preferred Qualifications
• Highest moral and ethical character
• 3+ years of administrative experience supporting a senior leader, preferably in a global, public company
• Strong command of English language and grammar
• A positive, upbeat personality and excellent interpersonal communication skills
• Strong verbal and written communication skills and ability to communicate effectively with all levels
• Flexibility and a professional/approach and demeanor
• Discretion combined with poise and professionalism in all communications
• Experience working with highly confidential information and ability to exercise exceptional judgement regarding information that may be confidential or material, non-public
• Highly advanced MS Office skills and technologically savvy (Word, Outlook, Excel, PowerPoint, and MS Teams)
• Strong presentation and slide development skills (PPT)
• Ability and openness to actively use different internal systems (e.g., Ariba, Concur, iProcurement, etc.) and technology – to complete tasks
• Ability to connect dots to “see the big picture”
• An understanding of how to leverage a busy executive's time and willingness to do what it takes to contribute to their success and the success of the company
• The ability to operate effectively and efficiently in a challenging, fast-paced environment with little supervision
• Demonstrated strength in prioritizing work
• Exceptional attention to detail.
• Customer service-focused with ability to work collaboratively with others including
interacting with internal and external contacts.

Work Hours: Varies upon the needs of the department.

Travel Requirements: This position requires travel 5-10% of the time.

Mental/Physical Requirements: This position will be performed in an office setting.  The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.

US Applicants Only: The estimated salary range for a new hire into this position is 69,000.00 USD to 88,000.00 USD, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position is eligible for annual bonus and equity. Visa has a comprehensive benefits package for which this position is eligible that includes Medical, Dental, Vision, 401 (k), FSA/HSA, Life Insurance, Paid Time Off, and Wellness Program.
