Job Description

As a member of the Corporate IT - End User Operations (EUO) organization, the Workstation Software Management (WSM) role is part of a team responsible for the lifecycle of workstation software assets needed by our 32,000+ global end users.  In addition, this person is in position to execute efficient procurement asset services, ensuing values and competencies in maintaining transparency, integrity, and compliance. The WSM Analyst derives meaningful operational metrics which align to OLA/SLA's across the function and manages continuous improvements with regards to accurate and appropriate inventory across the enterprise.

Reporting to Visa's Director of Corporate IT - Asset Management, this role’s primary focus is with Workstation Software Management procurement and license management.  This effort requires effective planning, monitoring, recording of entitlements, and reporting of workstation software license positions to ensure compliance with vendor contracts and the optimization of those assets throughout their lifecycle.   

As a business office function, this role has significant impact on the day-to-day success of the overall transformational journey of Corporate IT (CIT). The business functions of the role require the WSM Analyst to work with internal peers to ensure data accuracy and lifecycle management of software assets.  The Analyst also supports facilitates the delivery of software to the End User community. This individual will also provide technological guidance in the development of both internal and external processes and tools for workstation software asset and license management.

Areas of experience include data analysis around effective license positioning, packaging, publishing, and delivery of software while identifying cost optimization and generating compliance reporting.

Essential Functions

Operational

  • Manage and maintain inventory database of the software applications lifecycle.
  • Working knowledge of reconciling software licensing and software maintenance terms and conditions between procured rights and quantities to ensure licensing compliance of deployed software assets.
  • Facilitate the business’ needs for ongoing technical support and upgrade protection on selected products by ensuring that maintenance, support, and upgrade protection renewals are managed/handled/ordered in advance of their expiration.
  • Identify savings opportunities for renewals, software licensing, and services.
  • Develop and maintain a high level of expertise in software licensed products, license programs, and software asset policies.
  • Monitor, maintain and enforce licensing and asset standards, policies, and procedures.
  • Manage software request intake queues for procurement, delivery/Install, as well as license key management.
  • Work with Cybersecurity, Technology Governance, Engineering, Sourcing, Risk, and Legal on software registration and approvals to ensure the software is safe to use in the environment.
  • Respond to requests from end user and educate our colleagues on the software acquisition process, install procedures and error resolution.
  • Ensuring timely delivery of goods, works and services using the team’s procurement and delivery procedures.
  • Create and maintain license configurations in the software delivery portal to ensure compliance and a positive employee experience.
  • Create, maintain, and analyze software license, employment, software discovery, and software procurement data configurations in the software license management tools to ensure accurate reporting is possible.

Controls and Reporting

  • Generate licensing and asset data reports as required.
  • Drive efficiencies and cost-savings through software metering and monitoring.
  • Contribute in software audits with data gathering and license position reporting.
  • Review vendor invoices and confirm receipt and installation of software.
  • Ensure full compliance of procurement activities, financial rules and regulations, relevant organizational directives, and administrative instructions.
  • Ensure all activities are compliant with standard reporting requirements and audits.
  • Create, maintain, and update workstation software runbooks and install procedures for each product in use by Visa’s End Users.
  • Interrelationships
  • Ensure effective lines of communication between stakeholders, primarily the individual product owners, but also between Finance, Sourcing, Procurement, Risk, and Cybersecurity.
  • Manage relationships with vendors, suppliers to facilitate smooth flow of services and support.
  • Advise stakeholders on license requirements and proper consumption of the assets within the organization.

Strategic

  • Drive the development of a mature software catalogue using the Visa Software Portal.
  • Maintain and ensure adherence to Standard Operating Procedures, control of workflows, continuous business processes monitoring and delivery of improvements as it pertains to software compliance.
  • Assist and drive Visa to newer cloud-based software technologies and license models to keep up with industry trends and standards.
  • Recommend continuous improvements to team, organization, and business partners to drive measurable improved time to resolution of issues and requests.
  • Participate in various WSM projects as needed.

This is a hybrid position. Hybrid employees can alternate time between both remote and office. Employees in hybrid roles are expected to work from the office two days a week, Tuesdays and Wednesdays with a general guidepost of being in the office 50% of the time based on business needs.

Qualifications

Basic Qualifications

  • 2 or more years of work experience with a Bachelor’s Degree in Computer Science/Information Technology or an Advanced Degree (e.g. Masters, MBA, JD, MD, or PhD)
  • Knowledge of the Software Asset Management lifecycles.
  • Experience with inventory management systems like Flexera FNMS.
  • Knowledge of procurement principles and best practices.
  • Experience with SCCM, JAMF, BigFix discovery methods, metering, and reporting.
  • Familiarity with SCCM or JAMF packaging.
  • Familiarity with Flexera App Portal software delivery.


Preferred Qualifications

  • 3 or more years of work experience with a Bachelor’s Degree or more than 2 years of work experience with an Advanced Degree (e.g. Masters, MBA, JD, MD)
  • 5+ years of experience in the Information Technology field
  • 2+ years of exposure to or experience with Software Asset Management
  • Knowledge of Workstation Software Asset Management and Discovery Tools principles.
  • Certified Software Asset Manager (CSAM) or Certified IT Asset Manager
  • Experienced configuring and managing IT service management tools like Flexera FNMS, Flexera App Portal, ServiceNow, Eracent ITMC or SNOW.
  • Experienced in using IT service delivery tools such as SCCM, JAMF, or BigFix in conjunction with SAM tools to automate software distribution.
  • Experience with ServiceNow custom dashboarding and reporting.
  • Demonstrates effective use of Microsoft Office 365 Products.
  • Knowledge of Software Licensing Model and stays informed of new and updated software license models and options.
  • Knowledge of SAAS software management best practices and policy.
  • Knowledge of Azure environmental setup, maintenance, and proficiencies.
  • Knowledge of how companies like Microsoft, Jetbrains, and Adobe perform annual true up, license management, audit, and reporting.
  • Ability to execute at the detail level while maintaining a strategic alignment with the practice.

COLORADO APPLICANTS ONLY: The estimated salary range for a new hire into this position in Colorado is 75400 USD to 96100 USD. Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position is eligible for annual bonus and equity.
