Job Description

The Executive Assistant will be responsible for supporting the leadership of the Travel Vertical on the NA Merchant Sales & Solutions team, including the SVP leading the team and her direct reports; as well as for supporting select activities for the sub teams reporting to the direct reports. The Travel Vertical has the majority of its’ team members based in NYC, with several in Wilmington DE, San Francisco CA, Charlotte NC and a few telecommuters.

A proactive and can-do attitude is essential. We are looking for a team member who will play a key role in supporting our team. A strong candidate will have successfully supported several managers with varied job roles and collaborated with others to support an extended team, department and office activities. The position will be based in New York City, and will report to a Visa Senior Vice President. 

Essential Duties

  • Provide executive level administrative support, including managing multiple executive calendars in parallel, booking and managing executive travel plans, and using Visa tools for expense and purchase management.
  • Establish and maintain effective and cooperative professional relationships with internal and external business partners, including several levels of management, Visa employees and Visa clients
  • Act as a liaison, problem solver, and facilitator across multiple time zones in the United States for an ambitious and energetic sales and account management leadership team
  • Plan and execute onsite and offsite team meetings and events, including coordinating conference room set-ups, video conferencing, catering, A/V, and logistical arrangements
  • Prepare and update PowerPoint presentations, Excel spreadsheets, and other documents
  • Be responsive to reasonable requests for off-hours work, email and messages follow-up
  • Coordinate on-boarding of new employees and contractors, and associated tracking
  • Assist with space management, workspace move requests and submit facilities work orders
  • Provide sales enablement support including pipeline management, Playbook reporting, and sales enablement toolkit management (ie: Account Executive sales tools such as the Passport etc)
  • Create purchase requisitions and assist the extended team with purchase order processing and finance tracking
  • Perform team support duties including ordering office supplies, booking meeting rooms, processing training registrations, and updating distribution lists

Qualifications

Basic Qualifications

  • 2 or more years of work experience
 

Preferred Qualifications

  • 5+ years of administrative experience required, including current or recent role supporting executives in a comparable manner.
  • Strong written and verbal communication skills, with the ability to communicate and collaborate effectively with a diverse group of people and job functions
  • Proficiency in managing multiple projects including executive calendars, organizing travel etc
  • Demonstrated strengths balancing and prioritizing from several team members, with excellent attention to detail and proven ability to organize well
  • Skilled in Microsoft Outlook, Word, Excel, PowerPoint, MicroSoft Teams and SharePoint; experience with Salesforce, Oracle iExpense, Concur and iProcurement
  • Strong written presentation skills;
  • Bachelor’s Degree (or equivalent combination of work and education experience) is preferred; Must have a High School diploma or equivalent
  • Track record of excellent leadership and professional presence and displays confidence in working with others
  • Interest and expertise in event planning and/or meeting planning & coordination
  • Capable of working with discretion and tact in an environment exposed to a high level of sensitive and confidential information
  • History of creative problem solving, flexible with the ability to work well collaboratively and maintain a professional work environment

Additional Information

Work Hours This position requires the incumbent to be available during core business hours and beyond depending on business need.

Travel Requirements This position requires the incumbent to travel for work up to 10% of the time.

Mental/Physical Requirements This position will be performed in an office setting.  The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers, and reach with hands and arms.
