Job Description

The Senior Executive Administrator role provides direct assistance to the VP of Cyber Defense and Cyber Engineering, including administrative (expenses, travel, scheduling), budgeting/financial, event planning, and operational support.  This role also supports the global Cyber Defense and Cyber Engineering teams. This is an ideal position for an experienced individual with a positive can-do attitude, used to working in a dynamic, fast-paced environment. The role is based in Visa’s Ashburn office.

  • Manage daily administrative functions and work flow in support of the global Cyber Defense and Cyber Engineering teams
  • Act as the main point of contact for the Cyber Fusion Center in Ashburn
  • Liaison with a broad range of internal Visa professionals and external clients, government officials and vendors on behalf of the department
  • Manage complex calendaring and scheduling of Cyber Fusion Center tours, staff and individual meetings, teleconferences, team off-sites, and other events, coordinating conference/meeting room set-up, ordering catering, and making logistical arrangements
  • Compile, edit and maintain weekly/monthly/quarterly/annual/ad-hoc reports for the department
  • Process expense reports on behalf of the VP and assist the team when needed
  • Effectively and successfully respond to problem situations and prioritize issues
  • Provide support for budgeting processes including annual planning, forecasting and tracking actuals to develop recommendations for the team. Manage and maintain monthly budget summary to track planned spending and actual expenditures
  • Assist the VP by working with the various departments and leadership team members to manage Workforce Plan goals to current headcount, open requisitions, terminations, and pending starts
  • Work with the Program Managers to forecast labor hours for the team.  Ensure the Clarity system accurately reflects labor hours month to month
  • Work with managers, finance, sourcing, risk and vendors to ensure new purchases and renewals are completed on schedule adhering to deadlines
  • Manage Purchasing Card (PCard) expenses for the department, providing detailed monthly analysis, reconciliations, and ensuring that it is used for approved purposes
  • Manage space planning for the department

Qualifications

  • A Bachelor’s degree (or equivalent) and 5+ years administrative experience of administrative experience required, preferably in a global, public company
  • Experience in supporting senior managers in a fast-paced and demanding corporate work environment
  • Highly proactive; takes ownership to anticipate needs and adept at managing up and downstream to ensure deliverables are met timely and accurately
  • Customer service focused, takes initiative to add value, and collaborates in a manner that holds team success top-of-mind
  • Demonstrated ability to multi-task and prioritize work with strong attention to detail, even with frequent interruptions
  • Strong communication skills (written and verbal), detail-oriented, highly organized with the ability to work across functions with executives (both internal & external)
  • Intrinsically-motivated, highly organized and results-oriented
  • Demonstrates excellent leadership and professional presence with a confident and approachable personality
  • Capable of working with discretion and tact in an environment exposed to a high level of sensitive and confidential information
