Job Description

The Role
Reporting to the China Business Operations Support Director, the Operations Support Manager will support the business to ensure that business processes initiated by the Sales teams operate in an effective and compliant manner, and are in adherence to established policies and procedures. The role works collaboratively with the controls functions (especially Controllership, Compliance, and Legal) and the business functions to execute a robust controls framework, provide training on policies and procedures, and liaise with stakeholders to execute remediation actions.

The role maintains activities and processes that allow the Business to run effectively and efficiently with focus on
-    Operational management of the China Projects Pipeline that ensures effective management of the projects and are accordance with policies and procedures.
-    Work with the Operations Support Director to ensure the China business  are conducted in a compliant and value added manner, with a focus on exception prevention and detection, and maintaining a compliance culture.
-    Enhancement activities that include process improvement, sample testing, executing detective controls, conducting training, logging and remediation of issues.

Principal Responsibilities
The responsibilities of the Operations Support Manager will include the following, but not limited to:
•    Execute upon the vision, mission, strategies and annual goals for the department in alignment with the Company's goals.
•    Maintain the Project and Contract Pipeline Management / Tracking periodically and partner with the respective in-country business functions to ensure the following are performed accurately and in timely manner:
     o    Projects are recorded in the Pipeline.
     o    Review contracts to ensure the business intent and commercial terms are clearly stated, and approved accordingly.
     o    All business processes required to support the opportunity are performed.
     o    Required reviews and approvals have been obtained.
     o    Vendor due diligence has been performed as required.
     o    Project and contract milestones have been met/achieved in accordance with the contractual obligations.
     o    Goods and/or services have been successfully delivered by vendors prior to payment.
     o    Project closure procedures have been completed effectively.
     o    Sufficient project supporting documentations have been collected, validated and recorded/stored securely.
•    A key point of contact for all Business Operations Support activities for the Business to achieve a positive outcome for the customer and ensuring compliance to policies and procedures.
•    Represent the voice of the business to ensure their needs are represented in developing and delivering effective controls, processes and procedures.
•    Partner with Legal, Finance, Compliance and Sourcing to implement and maintain business procedures with robust controls in place that are adhered to..
•    Custodian of all necessary documentation related to each opportunity ensuring proper archival and maintenance.
•    Support the driving of business process improvement activities.
•    Conduct assessment and sample testing of transactions and procedures.
•    In partnership with Controllership, execute detective controls and apply remediation plans.
•    Log issues that are not in accordance with policies and procedures and drive remediation.
•    Assist with the development and delivery in-country trainings (including onboarding training) to Beijing, Shanghai, Guangzhou staffs.

Qualifications

Key Competencies
•    Ability to provide thought leadership to the China business in the area of executing policies and procedures.
•    Excellent project management skills and good communication skills, able to mobilize resources to execute controls and procedures during the entire project lifecycle.
•    Detail oriented and be able to work well under pressure and accustomed to project work with tight deadlines.
•    Strong controls, compliance and/ or auditing background.
•    Strong analytical and problem solving skills.

Required Experience
•    Education: Bachelor’s Degree or Master’s Degree.
•    Years of Experience: 6 + years of relevant experience.
•    Certification: CPA/CA/CIA/PMP/ Six Sigma or equivalent preferred.
•    Computer Skills: Advanced/Expert level of Microsoft Office, in particular Excel and Access, and Programming Language (Visual Basic, etc.) is preferred.
•    Language: Fluent in both English and Chinese.
