Job Description

The Epic Cadence Analyst/Specialist is responsible for the implementation, optimization, and support of the Epic Cadence module. This role ensures that the scheduling system meets organizational requirements, enhances patient access, and supports efficient resource management across healthcare facilities.

Key Responsibilities:

  1. System Implementation & Configuration:
    • Configure Cadence to support scheduling workflows, including templates, rules, and provider preferences.
    • Set up appointment types, visit lengths, and referral workflows to align with organizational needs.
    • Integrate Cadence with other Epic modules, such as MyChart, Prelude, and Resolute.
  2. Workflow Optimization:
    • Collaborate with clinical, administrative, and IT teams to analyze scheduling workflows.
    • Design and implement solutions to reduce scheduling errors, no-shows, and appointment bottlenecks.
    • Optimize templates for provider availability, resource utilization, and patient satisfaction.
  3. Training & End-User Support:
    • Develop and deliver training materials for schedulers, front-desk staff, and clinicians.
    • Provide ongoing support for end-users, addressing issues and optimizing workflows.
    • Conduct follow-ups to gather feedback and ensure effective use of the system.
  4. Patient Access & Engagement:
    • Enable and support self-scheduling features via MyChart and Epic Open Scheduling.
    • Ensure that patient appointment workflows are user-friendly and accessible.
    • Monitor and improve the patient experience by analyzing access metrics and feedback.
  5. Reporting & Analytics:
    • Create and maintain reports to track scheduling metrics such as appointment volumes, wait times, and no-show rates.
    • Provide data to support strategic planning for resource allocation and patient access initiatives.
  6. System Maintenance & Updates:
    • Monitor Cadence system performance and troubleshoot technical issues.
    • Test and implement updates and new features provided by Epic.
    • Maintain accurate documentation for system configurations and workflows.
  7. Compliance & Security:
    • Ensure scheduling workflows comply with HIPAA and other healthcare regulations.
    • Maintain secure access to patient information and appointment data.

 

Qualifications

  • Epic Cadence Certification or demonstrated expertise in Cadence.
  • Experience in healthcare IT, patient access services, or scheduling workflows.
  • Strong understanding of appointment scheduling, registration, and referral processes.

Preferred Qualifications:

  • Familiarity with other Epic modules, such as MyChart, Prelude, and Resolute.
  • Experience in patient access, call center management, or front-desk operations.
  • Knowledge of regulatory compliance and healthcare billing practices.
