Job Responsibilities

Owns the technology process facilitation and orchestration

· providing administration assistance for the department and assisting in following up the daily routine tasks,

· Communicating with other departments and agencies.

· Quality assurance of technical documentation for smart city and smart government programs portfolio progress updates and other reports coming for new initiatives, innovative ideas and workshop outputs

Major activities performed by the role and the role will continue to deliver:

a) Support the development and periodical review of technology standards, policies, procedures, and processes and carry out compliance reviews with technology standards, policies, procedures, and processes

b) Preparing both Arabic and English formal letters and reports.

c) Ensure letters are replied to in a timely manner.

d) Follow up on pending and delayed letters.

e) Proof reading and editing letters and Manuals.

f) Designing Templates for various documents.

g) Review and update Department Level3 Processes according to plan.

h) Work on process automation.

i) Create and update process diagrams on Enterprise Architect.

j) Prepare team-building activities for section staff.

k) Maintain accurate attendance records for section staff

l) Prepare Business Case status updates, follow up its sign offs. Prepare replies for all department incoming suggestions.

Skills and experience:

· Diploma in Business Administration , 3+ years of experience

· IT oriented personality, adaptability to understand IT related terms and processes.

· Excellent ability to manage time and work

· Communication and reporting skills

 

End User coordinator on Electronic Messaging System (EMS) Administrator, which is an internal system for Directors memos.
End User coordinator on Customer service performance Dashboard (CRM), which is an internal system for handling internal suggestions.
Translate directors’ memos Arabic to English and vice versa.
Maintain minutes of meetings file and follow up the assigned tasks as per the management instructions.
Prepare a monthly report for the management about the action plan for the section and achievements.
Provide technical documentation services for the section
Follow up manager’s assigned tasks to the team and coordinate with concerned departments to ensure completing the various tasks as per the approved plans and document the same
Follow up the section’s action plans to ensure achieving set targets. Reports should be submitted to the manager about any delay with the delay reasons.
Follow up staff requirements as per the instructions of the management.
Maintain training records for the Section and coordinate with concerned parties regarding personnel training.
Arrange the Section’s meetings with various parties and ensure providing all requirements to ensure successful meetings.
Prepare official Technical letter and required documentation for the management and the section’s team members.
Make sure to follow with team members to submit all actions on the section to the department’s coordinators.
Make sure to back team members if they are not on the desk.
