We are currently seeking a highly organized and detail-oriented Administrative Coordinator to join our team. In this role, you will provide essential administrative support across various departments and organizational levels. Your responsibilities will require proficiency in office software, databases, Excel spreadsheets, and virtual communication platforms. Strong communication and organizational skills are essential for coordinating tasks and maintaining efficiency in our day-to-day operations.

**Hourly Rate:** $19.68, plus an annual bonus of up to 10% and excellent benefits, including:

Job Description

Key Responsibilities

• Utilize office software to manage documents and communications effectively.
• Maintain and update databases/reports, ensuring the accuracy and security of data
• Create and manage excel spreadsheets for reporting, tracking, and analysis purposes.
• Coordinate virtual communications, including meetings, webinars, and team collaboration.
• Collaborate with individuals at all ranks and across multiple departments to facilitate smooth workflows.
• Assist in planning and organizing departmental or organizational activities and events.
• Monitor and prioritize tasks to ensure deadlines are met without compromising quality.
• Prepare reports, presentations, and correspondence as needed.
• Handle sensitive and confidential information with discretion.

· Communicate with coworkers, Area Directors, Vice Presidents, department managers, Ownership, suppliers, residents, and all outside contacts in a courteous and professional manner

· Maintain confidentiality of coworkers, management, Owners, past and current residents, suppliers, and all outside contacts

· Assists with coordinating and planning of the monthly department meeting held in Corporate and Regional Offices

Qualifications

• Proficiency in office software (e.g., Microsoft Office).
• Strong skills in database management and spreadsheet creation (e.g., Formatting Excel).
• Excellent virtual communication skills, including familiarity with platforms such, Teams.
• Exceptional attention to detail and ability to multitask effectively.
• Strong verbal and written communication skills.
• Proven ability to work collaboratively with diverse teams and individuals across various organizational levels.
• Outstanding organizational skills and the ability to prioritize workload.

Preferred Qualifications:

• Previous experience in an administrative or coordination role.
• Familiarity with project management tools or software.
• Ability to adapt to fast-paced environments and handle shifting priorities.
